Title - Administrative & Travel Support Specialist
Client - Fedral
Location - San Diego, CA
Key Responsibilities
● Provide general administrative support, including scheduling meetings, preparingdocuments, maintaining files, and supporting internal communications.
● Assist with planning and supporting domestic and international meetings, work groupsessions, and plenary meetings, including coordination with host organizations.
● Help prepare, format, and finalize meeting materials, participant lists, announcements,and operational documentation.
● Maintain and update internal manuals, databases, and web-related information asneeded.
● Support collaboration efforts between FRD and partner organizations by coordinatingworkshops, tracking activities, and communicating with working group members.Coordinate staff travel, including preparing travel documentation, booking transportationand lodging, tracking expenses, and maintaining travel logs and calendars.
● Work with internal travel specialists to support international travel requirements such asvisas, passports, and country clearances.
● Provide general staff support on an as-needed basis and serve as backup for otheradministrative personnel when required.
Qualifications
The Contractor personnel used to fulfill this requirement must have a minimumeducation/experience, which requires either a high school diploma or a minimum of 2-yearexperience in the areas defined below:
1. Ability to effectively communicate with diverse groups of people;
2. Ability to handle prioritize work assignments;
3. Proficiency in use of Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint)
4. Skill in office management processes;
5. Ability to learn and use a variety of automated systems to perform administrative taskssuch as timekeeping, travel arrangements, etc.;
6. A valid driver’s license is required for assistance with Government Owned Vehicle(GOV) maintenance tasks.
