  1. Explain what the scope of the work/project is? Project Overview, deliverables (what is this person responsible for). This will be an administrative role that will be working on site the Project site (Tracy, MN).
  2. What does a typical day look like? This resource will be providing administrative support to onsite staff within the onsite construction trailer. Managing supplies, taking care of material deliveries, record keeping, setting up meetings, catering if needed and general site project support.
  3. What is the size of the group this position will be supporting? Who are some of the key players this person will be working with? This resource will be administratively supporting the site personnel at the site listed above.
  4. Will this resource support internal (business), or external customers? Resource will not be responsible for working with any outside vendors with exception of catering, office supplies, etc.
  5. What are the main technology application/software skills/experience this resource will be required to possess? Strong proficiency in Microsoft office. SAP experience would be nice to have. Experience with SharePoint
  6. Describe work environment / team culture (supportive/collaborative, teamwork or individual contributor)? The onsite project team is very overloaded as they do not have any support. This admin resource would help take those administrative tasks off the project teams'' plate to help them free up time.
  7. What is the ramp up time/process for this role? Aside from having the required skill set, approximately how long will it take to train on Xcel''s process, procedures/policy? This resource should be up to speed within the first week or so as they start with smaller tasks until they understand process/procedures.
  8. What are the work hours/shift (standard, evening, full time/part time, OT required, on-call for 24/7 operation)? Standard hours. This resource would be expected to start at 7:00 AM until about 3:30 PM.
  9. Is this new headcount or a backfill? New – 12-month duration.

This position is part of a very strong, collaborative onsite team which affords this resource the opportunity to get to know the project team very well.
  2. What is the likelihood that the position will convert to a permanent opportunity? This position is not expected to become permanent, but the project will run until around Q2 of 2029 and the hope would be that the admin would be on the project for the duration.

Candidate Detail Section

  1. What are the top 3-5 skills and qualifications required? 5-7 years of a strong administrative background; filing, ordering/stocking supplies, meeting management, general office upkeep, etc. This resource should have a willingness to be part of the team and seek out areas where they might be able to help. Looking for this resource to have enough experience to anticipate needs before they are needed. It would be helpful if resource had experience working in a construction capacity or as part of a construction crew, providing administrative support vs [corporate] office work. Experience working with "blue collar” vs white collar would be helpful/preferred. As this resource would be working on the construction site, they should wear closed toed shoes. Additional PPE will be provided if/when the resource goes out into the field.
  2. What non-technical skills are necessary (i.e., such as communication, problem solving, team player)? Team player, willingness to help and provide service. Strong communication and problem-solving skills are needed.
  3. Ideal candidate background and how many years required? Looking at 5-7 years of administrative experience.
