Agency Support Administrator

Introduction:

The Agency Support Administrator will play a crucial role in supporting procurement processes by performing essential administrative tasks and providing resolution support to the team. This role requires attention to detail, problem-solving skills, and excellent communication abilities to ensure smooth operations within the agency.

Responsibilities:

  • Conduct basic contract reviews to identify and address Personally Identifiable Information (PII) concerns.
  • Prepare and post contracts, requests for quotes (RFQs), and related documentation to online platforms in accordance with agency standards.
  • Handle support tickets and phone calls to assess, research, and resolve issues or inquiries raised by requestors.
  • Collaborate with requestors to provide guidance and resolution for procurement-related tasks or challenges.
  • Maintain organized records and ensure compliance with relevant policies, procedures, and timelines.
  • Provide excellent customer service and ensure clear communication with internal and external stakeholders.

Requirements:

Required Skills:

  • Previous experience in procurement, contract management, or a related field (2 years).
  • Experience in ticketing systems or customer service platforms (2 years).
  • Knowledge of state procurement policies and procedures (2 years).
  • Degree or coursework in business administration, business management, public administration, or finance (2 years).
  • Experience with research, problem-solving, and troubleshooting to assist with data clean-up and quality for both ticket support and contracts.
  • Strong problem-solving skills to assess, research, and resolve procurement-related issues effectively.
  • Strong organizational and communication skills.

Preferred Skills:

  • Background in legal studies (desired).
  • Prior experience working with Service Now (nice to have).
  • Data visualization (Power BI) experience (nice to have).
  • Template creation, inventory module, item catalog management experience (People Soft v9.2) (nice to have).
