Position: Software License Optimization Analyst
Location: Linthicum Heights, MD
Overview
We are seeking a Software License Optimization Analyst to help drive data-driven software asset management and license optimization initiatives across enterprise functions. This role focuses on analyzing software license usage, identifying optimization opportunities, and delivering actionable recommendations that reduce software spend while maintaining appropriate user access.
The ideal candidate has strong analytical skills, advanced Excel expertise, experience working with software asset management data, and the ability to communicate findings effectively to both technical and business stakeholders.
Responsibilities
Software License Data Management
Collect software license entitlement and usage data from vendor administration portals and licensing platforms.
Gather and validate data for major enterprise software vendors such as Microsoft, ServiceNow, Salesforce, Workday, Adobe, Siemens, Ansys, MathWorks, PTC, Dassault, Cadence, and others.
Normalize and consolidate data into standardized reporting models at the user, license, and functional business-unit levels.
Maintain accurate and current software license inventories for assigned vendors and business areas.
License Utilization Analysis
Analyze software license allocation, purchase, assignment, and usage patterns.
Develop and track key metrics including:
License allocation versus purchased quantities
Active usage within 30-, 60-, and 90-day periods
Utilization percentages
Inactive and underutilized licenses
Identify opportunities to:
Reclaim unused licenses
Right-size license tiers
Improve license recycling and reassignment processes
Quantify potential cost savings and business impact associated with optimization initiatives.
Reporting and Business Insights
Create dashboards, reports, and visualizations using Excel, Power BI, Tableau, or similar analytics tools.
Develop executive-level and operational reports that highlight: Vendor-specific optimization opportunities, Organizational rollups and trends
Program status and performance metrics
Present findings and recommendations clearly to stakeholders, business leaders, and technology teams.
Recommendations and Process Documentation
Produce structured software license optimization recommendations supported by data analysis.
Document methodologies, assumptions, business rules, and data sources used throughout the analysis process.
Support the development of repeatable processes and best practices for ongoing software asset management and optimization programs.
Collaborate with program managers, platform owners, procurement teams, and business stakeholders to implement recommendations.
Minimum Qualifications
Bachelor's degree in Business, Information Systems, Finance, Data Analytics, Computer Science, or a related field; equivalent experience may be considered.
3+ years of experience in one or more of the following areas:
Software Asset Management (SAM)
IT Asset Management (ITAM)
IT Financial Management (ITFM)
Business Analysis
Data Analytics within an enterprise IT environment
Advanced Microsoft Excel skills, including:
Pivot Tables
VLOOKUP/XLOOKUP
INDEX-MATCH
Complex formulas and data manipulation
Strong analytical, quantitative, and problem-solving capabilities.
Experience working with large datasets and transforming data into actionable business recommendations.
Excellent written, verbal, and presentation skills.
Ability to work independently and manage multiple priorities in a structured environment.
Preferred Qualifications
Experience with software licensing and usage reporting for enterprise platforms such as: Microsoft 365, Adobe, ServiceNow, Salesforce, Workday
Engineering and design software platforms
Experience with data visualization and reporting tools such as: Power BI, Tableau
Knowledge of software license compliance, optimization, and governance practices.
Experience developing dashboards and executive-level reporting.
Familiarity with software procurement, contract management, and license lifecycle management.
