Job Summary
The Software Asset Manager is responsible for the governance, lifecycle management, licensing compliance, and optimization of software assets across a healthcare enterprise, primarily within a Microsoft M365 environment.
This role ensures software is properly licensed, efficiently deployed, and compliant with vendor agreements, organizational policies, and regulatory requirements.
Partnering cross-functionally with IT, security, cloud, procurement, and finance teams, this individual provides accurate license positions, supports audits, reduces financial risk, and enables data-driven decision-making. This position plays a critical role in maintaining compliance, controlling costs, and improving operational transparency in a highly regulated environment.
Minimum Qualifications
Education
- Bachelor’s degree in Information Technology, Business, Finance, or related field (or equivalent experience)
- Master’s degree (MBA, MIS, or Healthcare Administration) preferred
Experience:
- 5+ years in Software Asset Management (SAM) or IT Asset Management (ITAM)
- 5+ years managing Microsoft M365 Enterprise Agreements
- 3+ years working with software licensing and vendor contracts
- 3+ years in enterprise IT environments (healthcare or regulated industries preferred)
- 2+ years supporting audits, compliance, or risk management
- Leadership Experience
- 1–3 years of cross-functional leadership or coordination
- (Direct people management not required)
Key Skills & Competencies
- Software Asset Management: License reconciliation, entitlement tracking, lifecycle governance
- ITAM / CMDB: Integration across hardware, software, and cloud assets
- Licensing Expertise: Microsoft, Oracle, VMware, Epic, and SaaS models (user, device, subscription)
- Audit & Compliance: Vendor audits, internal audits, regulatory adherence
- Financial Analysis: Cost optimization, forecasting, and true-up management
- Communication: Ability to translate complex licensing and compliance risks for technical and non-technical stakeholders
Core Responsibilities:
- Manage the full lifecycle of software assets from acquisition through retirement
- Administer Microsoft Enterprise Agreements and M365 licensing
- Drive M365 user adoption and optimization initiatives
- Maintain accurate software entitlements and Effective License Positions (ELPs)
- Ensure alignment between hardware, software, and cloud asset inventories
- Partner with infrastructure and cloud teams to manage licensing across on-prem, virtual, and cloud environments
- Ensure compliance with vendor agreements and internal policies
- Lead and support software vendor audits, including documentation and response coordination
- Identify and mitigate licensing risks to prevent financial exposure
- Perform financial analysis for renewals, budgeting, and cost optimization
- Collaborate with procurement and finance to manage and optimize software spend
- Provide reporting on compliance posture, utilization, and risk to leadership
- Support security, privacy, and compliance teams with asset and licensing data
