Scope:
 
The Administrative Support Assistant(s) will enter, maintain, and edit employees’ time and attendance records ensuring account numbers are accurate, coordination of travel for divisional staff, provide itineraries to travelers, prepare travel authorizations and vouchers and other required approvals, examine vouchers for accuracy, routing of documents for required approvals, creation and maintenance of travel spreadsheets, perform reconciliation of monthly travel card statements and coordinate and schedule divisional meetings. The Administrative Support Assistant has been key in supporting the mission at NPS providing continuous support in various areas including Contracting, Project Management, Information Management, Administrative, Planning, and Budget Services personnel—who administer multi-million-dollar design and construction efforts across the National Park Service.
 
a.         Serve as divisional timekeeper.  Enters, maintains, and edits employees’ time and attendance records in the automated
payroll system. Ensure account numbers are accurate.
 
b.         Coordinates travel arrangements for divisional staff. Ensure arrangements meet all travel needs. Provides detailed itineraries to travelers. Obtain required approvals and prepare travel authorizations and vouchers in accordance with standards, guidelines, and policies. Examine vouchers for accuracy and routes for approval. Establish and maintain travel spreadsheets.
 
c.         Reconcile monthly travel card statements.
 
d.         Maintain a professional demeanor in all communications and appearances.
 
e.         Coordinate and schedule divisional meetings.
 
f.          Shall provide ancillary services in conjunction with the duties as assigned.
 
Knowledge & Experience Requirements:
 
Technical Skills: The minimum education that is required for this position is the completion of a High School Diploma or equivalent with the minimum experience of two (2) years.
 
1.         Proficient with computers.
 
2.         Knowledge and experience with software with a focus on all Microsoft products.
 
3.         Proficient with data entry.
 
4.         Excellent written and verbal communication, problem-solving, and conflict resolution skills.
