Job Summary

The AI Tools and Governance Specialist is responsible for discovering, evaluating, and managing the full lifecycle of AI tools across the organization. This role combines hands-on research, strategic decision-making on tool adoption, creation of user-friendly training and knowledge resources, detailed usage tracking and cost allocation, and active contribution to enterprise AI governance policies. The specialist ensures that AI tools deliver business value while maintaining compliance, cost control, and responsible usage.

 

Key Responsibilities

  • Conduct ongoing research into new and existing AI tools, platforms, and features, including capabilities, limitations, pricing models, security, and integration potential.
  • Evaluate AI tools against business needs and recommend which tools should be rolled out (or retired), presenting clear business cases and risk assessments to stakeholders.
  • Develop, maintain, and update comprehensive training materials, knowledge-base articles, how-to guides, and best-practice documentation for approved AI tools and their features.
  • Track token usage, consumption trends, and associated costs across all AI tools; generate regular reports and forecasts for leadership.
  • Manage the intake and processing of user requests for AI licenses, including approval workflows, provisioning, and renewal tracking.
  • Monitor and analyze user adoption and usage patterns; maintain accurate records of who is using which tools and at what volume.
  • Allocate AI tool costs to the appropriate business segments or departments based on usage data and charging models.
  • Collaborate with legal, compliance, security, and business leaders to draft, refine, and enforce governance policies covering acceptable use, data privacy, intellectual property, ethical guidelines, and risk management for AI tools.
  • Serve as the central point of contact for AI tool-related questions, issues, and optimization opportunities across the organization.

 

Qualifications

  • Bachelor’s degree in Computer Science, Information Systems, Business Analytics, Data Science, or a related field (Master’s degree or relevant certifications preferred).
  • 2+ years of experience working with AI/ML tools, platforms, or enterprise software (experience in a corporate IT, digital transformation, or innovation role is a strong plus).
  • Demonstrated ability to research, evaluate, and summarize complex technical products for both technical and non-technical audiences.
  • Strong writing and instructional design skills with experience creating training documentation, knowledge articles, or user guides.
  • Familiarity with AI cost structures (tokens, API usage, licensing) and experience using analytics or reporting tools to track usage and costs.
  • Working knowledge of governance, compliance, and risk frameworks related to emerging technologies (data privacy, AI ethics, etc.).

 

Required Skills & Competencies

  • Deep curiosity and self-driven research skills in the rapidly evolving AI landscape.
  • Excellent analytical and organizational skills with high attention to detail.
  • Proficiency with common AI platforms (e.g., ChatGPT Enterprise, Claude, Gemini, Copilot, Midjourney, etc.) and associated admin/analytics dashboards.
  • Strong communication and collaboration skills; ability to translate technical concepts into clear business language.
  • Experience with Microsoft 365, Google Workspace, or similar enterprise environments is preferred.
  • Basic data analysis skills (Excel, Power BI, or SQL) for usage reporting and cost allocation.
  • Ability to work independently while partnering effectively with cross-functional teams.
