lean, high-impact organization, they are seeking a versatile Senior
Administrator & Operations Lead to serve as the central backbone of the
company's daily operations. Reporting directly to the President/CEO and
Treasurer, this is not a traditional "HR-only" role; it is a critical
hybrid position designed for a proactive professional who excels in payroll and
HR administration while eagerly stepping into General Affairs, accounting
support, and corporate-wide projects.

Essential
Duties and ResponsibilitiesPayroll &
Financial Administration
- Payroll Ownership: Execute bi-monthly payroll via ADP with
meticulous accuracy, serving as the subject matter expert for a
multi-national workforce of 70+ employees (US, Canada, and Mexico).
- Accounting Support: Partner with the Treasurer to assist in
basic accounting tasks, expense tracking, and billing reconciliation.
- Audit Readiness: Serve as the primary point of contact for
external audits, ensuring all financial and personnel records are
organized and compliant.
General
Affairs & Corporate Operations
- Facility & GA
Management: Oversee facility
upkeep, equipment maintenance, and office supply procurement to ensure
peak operational efficiency.
- Risk & Records: Manage corporate insurance policies,
business licenses, and sensitive databases with absolute confidentiality.
- Process Improvement: Assist leadership in the formulation and
implementation of internal controls and broader corporate policies.
People
Operations & HR
- Employee Relations: Act as the primary point of contact for
employee inquiries, mediating conflicts and championing a positive,
collaborative culture.
- Full-Cycle Recruitment: Lead the hiring process from job postings
to onboarding, ensuring a seamless experience for new hires.
- Compliance &
Benefits: Coordinate 401(k)
contributions and health benefit programs; ensure total compliance with
regional labor laws and the Employee Handbook.
Qualifications
- The "Growth"
Mindset: A strong willingness to
learn and step into General Affairs and Accounting functions, even if
previous experience is primarily in HR/Payroll.
- Adaptability: Ability to operate effectively as a
"department of one," pivoting between administrative, financial,
and people-focused tasks daily.
- Technical Proficiency: Strong computer skills; ADP proficiency
is highly preferred.
- Communication: Exceptional written and verbal skills
with a professional presence suitable for direct interaction with
executive leadership.
- Efficiency: Highly detail-oriented and proactive;
able to meet rigorous deadlines with minimal supervision.
Requirements
- Proven Experience: Demonstrated success in managing payroll
systems and general office or HR administration.
- Educational Background: Post-secondary education in a related
field or equivalent professional experience.
- Environment: Ability to work in an office environment
with occasional exposure to a warehouse setting.
- Travel: Flexibility to travel as required by the
business.
Preferred
Skills
- Previous experience in a
corporate administrative, finance, or HR role.
- Familiarity with modern
HR practices and basic accounting/bookkeeping principles.
- Previous experience
supporting international operations.
