Summary

We are seeing an experienced Project Coordinator to work within our client’s Enterprise Project Management Office (EPMO) in the Plans and Programs Office (PMO.) This is a 6-months contract role with a potential for extension.

 

The Project Coordinator provides coordination, administrative, and logistical support within the Enterprise Project Management Office. This role focuses on supporting project activities, documentation, reporting, scheduling, and communication to ensure projects and community-related work progress smoothly and efficiently.

 

Project Management Institute (PMI) Certified Associate Project Manager (CAPM) or Project Management Professional (PMP) certification highly desired.

 

 

Role Description

The Project Coordinator provides coordination, administrative, and logistical support within the Enterprise Project Management Office. This role focuses on supporting project activities, documentation, reporting, scheduling, and communication to ensure projects and community-related work progress smoothly and efficiently.

 

Core Responsibilities

  • Provide coordination and administrative support for projects, programs, and initiatives.
  • Assist with scheduling meetings, training, and community events; prepare agendas and take accurate meeting notes.
  • Support project documentation, tracking, reporting, and basic data organization.
  • Assist in maintaining project files, records, and SharePoint or Teams sites to ensure information is current and accessible.
  • Communicate clearly and professionally with internal staff and external partners, including families and community members.
  • Support in-person and virtual meetings and events (Teams or other web-based platforms).
  • Assist with preparing presentations, reports, and materials using Microsoft Office tools.
  • Support culturally responsive and inclusive practices when working with staff, students, families, and community partners.
  • Follow established project processes and escalate issues or questions to the assigned project manager as appropriate.
  • Maintain appropriate discretion, tact, and confidentiality when handling sensitive or confidential information.
  • Attend meetings, training, and required in-office activities.
  • Perform other related duties and activities as assigned.

REQUIRED SKILLS & KNOWLEDGE

  • Basic understanding of project coordination practices within educational, public sector, or business environments.
  • Familiarity with culturally responsive and inclusive practices.
  • Strong organizational skills with attention to detail.
  • Working knowledge of:
    • Microsoft Office (Word, Excel, PowerPoint)
    • Microsoft Teams, SharePoint, and Forms
    • Adobe Acrobat and Forms
  • Ability to take clear notes, track action items, and follow up on assigned tasks.
  • Clear written and verbal communication skills.
  • Ability to work effectively as part of a team and follow direction from project leadership.

EXPERIENCE / EDUCATION

  • One (1) to Three (3) years of experience in a project coordination, administrative support, or program support role.
  • Associate or bachelor’s degree in education, business, communications, public administration, or a related field OR an equivalent combination of education and experience.
  • Experience supporting meetings or events (in person and/or virtual) is desired.
  • Experience working in an educational, nonprofit, or public-sector environment is preferred but not required.
  • Any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities will be considered.

CERTIFICATIONS (PREFERRED)

  • Project Management Institute (PMI) Certified Associate in Project Management (CAPM) or Project Management Professional (PMP).
  • Other relevant training or coursework in project coordination or administration is beneficial.

OTHER INFORMATION

  • Full-time role, Monday–Friday, 8:00 am–5:00 pm, in-office.
  • Occasional evening or Saturday work may be required to support community meetings or events.
  • SPS laptop will be provided.
  • Background and reference checks and fingerprinting will be completed as required.
