Summary

Application/Desktop Support Specialist

*On-site daily in NJ office location

Responsibilities:

  • Install, configure, and maintain desktop applications, including:

    • Microsoft 365 (Word, Outlook, Excel, PowerPoint, Teams)

    • PDF tools such as Adobe Acrobat and Kofax Power PDF

    • Document Management Systems (iManage)

    • Time and billing applications such as INTAPP

  • Manage application updates, patches, and version control across the firm.

  • Maintain standard desktop images and application deployment packages.

  • Serve as a primary point of contact for application-related support requests.

  • Troubleshoot and resolve software issues, performance problems, and integration errors.

  • Document common issues and solutions while maintaining an internal knowledge base.

  • Assist with user onboarding and offboarding from an application access perspective.

  • Configure applications to align with firm workflows, policies, and security requirements.

  • Partner with IT leadership to test and deploy new applications, updates, and integrations.

  • Manage user roles, permissions, and security groups across key applications.

  • Ensure data integrity, confidentiality, and compliance with legal and regulatory requirements, including client confidentiality and retention policies.

  • Participate in technology initiatives such as software upgrades, migrations, and system implementations.

  • Analyze user feedback and usage trends to recommend improvements to tools and workflows.

  • Collaborate with vendors and consultants to resolve complex application issues.

  • Contribute to documentation of firm-wide application standards, procedures, and best practices.

Qualifications:

  • Associate’s or Bachelor’s degree in Information Technology, Computer Science, or a related field preferred (equivalent experience will be considered).

  • 2–5+ years of experience supporting desktop applications in a professional services environment.

  • Prior law firm experience strongly preferred.

  • Strong experience with Microsoft Windows and Microsoft 365 in a business environment.

  • Experience supporting legal Document Management Systems such as iManage, NetDocuments, or Worldox (iManage preferred).

  • Experience with practice/case management or time and billing systems is a plus.

  • Familiarity with remote access tools, virtual desktops, and mobile device integration.

  • Basic understanding of networking concepts, Active Directory, and Group Policy.

  • Excellent communication skills with the ability to explain technical concepts to non-technical users.

  • Strong customer-service mindset with professionalism when supporting attorneys and staff.

  • Detail-oriented with strong organization and documentation skills.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • High level of discretion when handling confidential and sensitive information.
