Position Overview

The Executive Secretary / Administrative Assistant will provide comprehensive administrative and operational support to the Office of Legislative and Public Affairs (OLPA) at the National Science Foundation. This role involves managing executive schedules, coordinating meetings, preparing official correspondence and reports, and supporting office operations while ensuring professionalism, accuracy, and compliance with federal communication standards.

Key Responsibilities

  • Manage day-to-day administrative operations and support executive leadership.

  • Maintain executive calendars, schedule meetings, and coordinate appointments.

  • Prepare meeting agendas, presentation materials, and meeting minutes.

  • Draft and edit emails, official correspondence, reports, memos, and policy documents.

  • Coordinate meetings, interviews, panels, and stakeholder engagements.

  • Maintain stakeholder contact lists and distribution lists.

  • Compile and organize reports, including social media, web, and communications metrics.

  • Maintain document libraries, templates, and operational resources.

  • Assist with travel coordination, training requests, and reimbursements.

  • Ensure proper document management and database tracking.

  • Collaborate with internal teams and external stakeholders while maintaining a high level of professionalism.

Required Qualifications

  • Bachelor’s degree in Communications, Public Relations, Marketing, Data Analytics, or a related field (preferred).

  • 5+ years of administrative and executive support experience.

  • Strong experience drafting official correspondence, memos, reports, and internal documents.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

  • Experience managing databases, tracking systems, and preparing reports and presentations.

  • Familiarity with federal communication standards, including the Plain Writing Act and Section 508 compliance.

  • Excellent written communication, grammar, and editing skills.

  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
