Job Description
We are seeking an Executive Administrative Support Professional to join our dynamic team. The ideal candidate will have strong experience in executive support, Microsoft 365 tools, and business operations coordination and a proven ability to manage complex calendars, coordinate meetings and travel, and execute operational processes with discretion and accuracy.
Responsibilities:
- Schedule meetings and manage the executive's daily calendar.
- Assemble PowerPoint presentations and prepare meeting materials.
- Prepare the executive for daily meetings, including calendar reviews and materials preparation.
- Support onboarding and offboarding, including ordering and returning equipment.
- Assist the executive in prioritizing meeting requests.
- Arrange travel plans and itineraries.
- Process expenses in Concur.
- Plan, schedule, and coordinate team meetings and events with the Business Operations Manager.
- Manage access requests and input visitors into the visitor access system.
- Act as proxy for the executive in applicable approval systems of record.
- Coordinate with other administrators to monitor and order office supplies.
- Provide coverage and assistance to other senior leaders as needed.
- Work independently to resolve issues and identify answers in a timely manner.
Required Skills & Qualifications:
- Strong organization, time management, discretion, and confidentiality.
- Attention to detail, accuracy, and thoroughness.
- Expertise with Microsoft Outlook, PowerPoint, Teams, Copilot, and other Microsoft Office products.
- Adaptability to frequent and fast changes.
- Superior interpersonal and communication abilities.
- Strong collaboration skills.
Preferred Skills:
- Knowledge of Bank of America systems including Concur, Webex, corporate travel, MyFacility, Guardian, and Workday.
Role Logistics
- Hybrid schedule with a minimum of 3 days onsite per week. Onsite day 1. May require additional onsite days occasionally.
- Start month: June.
- Interview: Video required. 1 round, possibly 2.
- Glider ID verification required.
- Max 3 submissions per vendor.
