ICF seeks a full-time Administrative Assistant to support the Region 4 Training and Technical Assistance (TTA) Team. The Administrative Assistant works under the direction of the TTA Coordinator (TTAC) supporting administrative functions necessary to provide TTA services to Head Start and Early Head Start programs.
Up to 25% travel will be required to fulfill the duties of the position. This position is based out of the Region 4 Federal Office in Atlanta, GA, with telework opportunities available as approved by the regional office. Basic Qualifications: The Administrative Assistant shall have:
- A minimum of a two-year college degree from accredited college or university required.
- 1+ years' experience aggregating data and producing reports based on multiple data sources.
- 1+ years' experience in Microsoft Office Suite or similar applications and in the use of Smartsheet software and other required applications for collaboration and information management.
- 1+ years' experience communicating, both orally and in writing, to various audiences.
- 1+ years' experience organizing and performing multiple tasks at the same time.
- 1+ years' experience providing administrative support to project and/or contract management team and staff who work remotely.
- 1+ years' experience with in-person event coordination and planning, technical set up and operation, as well as that provided virtually through platforms such as MS Teams and Zoom preferred.
Key Responsibilities: The Administrative Assistance (AA) shall provide the following in-person or virtually as determined by the regional office.
- Provide general administrative support for TTA contract activities and deliverables as directed by the Regional TTA Coordinator and the Regional Area Office.
- Conduct event planning for regional area TTA meetings and events, including provision of virtual TTA.
- Perform clerical and administrative duties including data entry, data aggregation, and recordkeeping.
- Aggregate and prepare data from OHS owned systems to inform and report on TTA activities.
- Support TTAC in preparing and submitting accurate and timely monthly and quarterly reports and travel plans. Maintain access and accuracy of record-keeping and data entry across various data systems.
- Support the TTAC in completing the Annual Training Plan (ATP) process.
- Incorporate other tasks specific to the support of the TTAC work or as requested by the COR.
- Participate in national, regional, and state work groups and meetings as directed by the OHS COR.
- Support emerging OHS initiatives and priorities.
- Serve as the Smartsheet link between the Office of Head Start and regional contract staff and provide Smartsheet support to the contract and team; including but not limited to, supporting the team's understanding, use, and troubleshooting of the OHS Travel Planning and Approval System.
Preferred Skills/Experience: - Bachelor's degree from an accredited U. S. college
- Smartsheet proficiency
- Experience with virtual platforms such as Zoom, Microsoft Teams, etc.
- Experience working with federal government programs, particularly in a consulting environment
- Experience providing logistical support and general project support, such as activity tracking, task coordination, and material formatting
- Experience setting up and managing webinars
- Excellent verbal, oral, written communication skills

Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position.
The pay range for this position based on full-time employment is:
$46,004.00 - $78,207.00
