Position Summary
The Project Manager iCargo Upgrade will lead the end-to-end delivery of a large-scale upgrade to the IBS iCargo platform (freight management system), ensuring successful execution across business, technology, and vendor teams. This role is responsible for driving planning, coordination, risk management, and execution of all upgrade-related activities while maintaining alignment with operational priorities and regulatory requirements.
Key Responsibilities (Day-to-Day)
Program & Project Execution
- Lead daily execution of the iCargo upgrade program across all phases (planning, design, build, testing, deployment, and hypercare)
- Develop and maintain detailed project plans, timelines, and deliverables across multiple workstreams
- Track progress against milestones and proactively manage schedule, scope, and budget adherence
- Conduct daily stand-ups, weekly status reviews, and executive reporting cadences
Cross-Functional Coordination
o Product Management (Cargo Digital Products)
o Business stakeholders (Cargo Operations, Finance, Compliance)
o IT engineering and integration teams
o External vendors (IBS Software, consulting partners)
- Ensure alignment across global teams, including offshore resources (e.g., HYD delivery teams)
- Facilitate decision-making through structured governance and escalation processes
Vendor & Partner Management
- Act as primary point of contact for IBS and implementation partners
- Manage vendor deliverables against SOW commitments and milestones
- Track performance, risks, and dependencies tied to vendor execution
- Coordinate defect resolution and system readiness with vendors during testing cycles
Testing & Release Management
- Oversee all testing phases:
o System Integration Testing (SIT)
o User Acceptance Testing (UAT)
o Operational Readiness Testing
- Ensure test plans, scenarios, and entry/exit criteria are clearly defined and executed
- Coordinate defect triage and prioritization across business and IT teams
- Support release planning, go-live readiness, and deployment activities
Risk & Issue Management
- Identify, document, and manage risks, issues, and dependencies across workstreams
- Maintain RAID logs with clear ownership, mitigation plans, and timelines
- Escalate critical risks to leadership with recommended actions and path to resolution
Stakeholder Communication & Reporting
- Provide transparent and structured status updates to leadership and stakeholders
- Prepare executive-level reporting (status dashboards, KPIs, risks, financials)
- Communicate key impacts, timelines, and decisions to business and operational teams
- Drive alignment across stakeholders with varying priorities and timelines
Change Management & Operational Readiness
- Partner with business teams to ensure readiness for new system capabilities
- Coordinate training, documentation, and rollout planning across cargo locations
- Ensure minimal disruption to cargo operations during transition and go-live
Governance & Compliance
- Ensure adherence to enterprise delivery frameworks, PMO standards, and audit requirements (SOX where applicable)
- Maintain proper documentation, approvals, and traceability across all phases of the upgrade
- Support financial tracking, forecasting, and reporting aligned to project budgets
