Job Title: Facilities Coordinator/Workplace Services Representative
Location: Chicago, IL
Duration: 12+ Months
Job Summary:
Facilities Operations & Maintenance, Submit and manage building work orders
Coordinate vendor repair calls and service appointments
Oversee desk furniture maintenance and repair through vendor coordination
Respond promptly to spills and minor facilities issues
Support printer repair and maintenance requests
Assist with conference room configurations
Monitor and maintain safety, security, and compliance standards within the workplace.
Conference Rooms & Shared Spaces, Reconcile conference room calendars
Perform daily meeting room checks
Restock meeting room refrigerators
Support catering orders and setup
Mail, Shipping & Deliveries, Receive and deliver mail to business units
Manage outgoing mail pickup and USPS drop-offs
Handle FedEx shipments and tracking
Inventory, Supplies & Refreshments, Place and manage supply orders
Order, receive, store, and restock coffee and snack supplies
Perform daily and scheduled restocking activities
Track inventory levels and maintain accurate records
Technology & Workplace Support Coordinate laptop recovery
Process printing requests, producing high quality print products (pitch-books, brochures, signage, etc)
Support seat changes and floor plan updates
Maintain workstation name plates
Reception & Front Desk Coverage, Provide reception coverage during lunch, breaks, and when the primary receptionist is out of office
Qualifications
Required Previous experience in facilities, office services, or workplace operations
A proactive mindset and the ability to anticipate needs before they arise
A passion for creating exceptional employee and guest experiences
Strong customer service skills with a friendly, responsive, and solution-focused approach-you’re approachable, resourceful, and solutions-oriented.
Excellent interpersonal and communication skills
Desire to work as a part of a team while able to manage their day-to-day tasks independently
Strong organizational and time-management skills
Ability to manage recurring schedules and ad-hoc requests
Ability to lift, move, and stock supplies as needed (minimum of 50lbs)
Microsoft Office Suite
Preferred / Plus
Experience in hospitality, in-person customer service
Experience supporting front desk or employee-facing services in a corporate environment
