ABOUT THE ROLE

This entry-level position is designed to provide foundational project management experience by assisting with planning, coordinating, tracking, and reporting on project activities. The Project Manager Coordinator will work collaboratively with cross-functional teams, stakeholders, vendors, and leadership to help protect project scope, schedule, quality, and stakeholder alignment. The role involves maintaining project documentation, managing action items, monitoring risks and issues, and facilitating effective communication to ensure successful project delivery. This hybrid position offers opportunities for professional growth and development in a dynamic, team-oriented environment, and may require occasional schedule flexibility to support project needs.
WHAT YOU'LL DO

  • Support project managers with day-to-day project coordination, maintaining project timelines, milestones, and deliverable trackers
  • Coordinate project meetings, including scheduling, preparing agendas, tracking attendance, documenting meeting notes, decisions, action items, owners, and due dates, and following up with responsible team members
  • Assist with tracking project dependencies, handoffs between teams, and support Agile ceremonies such as stand-ups, backlog reviews, sprint planning, reviews, and retrospectives as needed
  • Maintain and organize project documentation, including project plans, status reports, RAID logs (Risks, Assumptions, Issues, Dependencies), decision logs, stakeholder lists, and other project artifacts
  • Collect project updates from workstream leads and team members, escalate overdue items, emerging risks, and schedule concerns to project managers
  • Support the development of presentations, dashboards, and executive reporting materials, ensuring project documents are organized, current, and accessible
  • Help coordinate cross-functional meetings and workstream activities, assist with stakeholder follow-up and response tracking, and help identify communication gaps, resource constraints, and unresolved decisions
  • Assist with identifying and documenting risks, assumptions, issues, and dependencies; maintain the RAID log and support regular reviews with the project team; track mitigation plans and follow up on assigned actions
  • Document requested changes to scope, schedule, requirements, or deliverables, bring potential impacts to the project manager's attention, and support change control and governance activities as directed
  • Manage program calendar, distribution lists, shared folders, and SharePoint site; track project-related training, onboarding, access, and participation requirements
  • Assist with procurement, invoicing, timesheet, and vendor coordination activities when applicable
  • Support project closeout activities, including lessons learned, phase transition materials, and perform other project coordination duties as assigned
WHAT YOU BRING

  • Very strong organizational skills and attention to detail
  • Experience with administrative coordination, project support, operations, business analysis, or team coordination
  • Ability to manage multiple assignments and competing deadlines
  • Strong written and verbal communication skills, with active listening abilities
  • Ability to work effectively with individuals at different organizational levels, demonstrating collaboration and teamwork
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, SharePoint)
  • Ability to maintain confidential and sensitive information appropriately
  • Internship, coursework, or experience in project management and/or business operations (preferred)
  • Familiarity with project management concepts (scope, schedule, milestones, dependencies, risks, issues, change management)
  • Familiarity with Agile, Scrum, or other delivery methodologies (preferred)
  • Experience using project management or collaboration tools (e.g., Planview, AirTable, Microsoft Planner, Jira, Azure DevOps, SharePoint)
  • CAPM, Scrum certification, or other project management training (preferred)
  • Demonstrated collaboration, teamwork, adaptability, and customer/stakeholder service orientation
  • Strong time management and problem-solving abilities
  • Professional judgment, accountability, and the ability to identify and communicate potential concerns before they affect project scope, schedule, or delivery
WHAT'S IN IT FOR YOU

  • Opportunities for professional growth and development in a dynamic, team-oriented environment
  • Exposure to foundational project management practices and methodologies
  • Hybrid work environment with regular collaboration across teams and stakeholders
  • Potential for schedule flexibility to support project needs
  • Valuable experience working with senior project managers and PMO leadership
