Primary Purpose: Provide portfolio analytics, financial insights, visualization, automation, and process improvement support for leadership decision-making.
Not a Manager Role: This role does not own program or project oversight, manage project managers, or make portfolio governance decisions.
Role Distinction: Complements the Portfolio Coordinator by focusing on analysis, dashboards, apps, automation, and continuous improvement rather than routine meeting facilitation or status administration.
Position Summary:
- The Portfolio Excellence & Insights Lead will serve as a senior individual contributor and strategic support partner to Client Business Unit leadership by providing portfolio analytics, financial insights, data visualization, automation, and continuous improvement recommendations. This role helps leadership understand portfolio trends, financial performance, resource patterns, process opportunities, and future direction through data-driven insights and clear executive storytelling.
- This position is not intended to perform formal oversight of programs, projects, or project managers. Instead, the role focuses on transforming portfolio, financial, delivery, and resource data into meaningful insights, dashboards, applications, and automated reporting capabilities that improve portfolio transparency, reduce manual effort, and support better decision-making.
- The ideal candidate combines strong knowledge of project portfolio management and financial concepts with hands-on analytical, visualization, technical, and process improvement capabilities. This person should be comfortable working across data sources, identifying improvement opportunities, building visual tools, and using AI-enabled capabilities to modernize how portfolio information is analyzed, presented, and acted upon.

- Complementary to the Portfolio Coordinator, who may continue supporting routine coordination, status logistics, meeting facilitation, and administrative follow-up.
Key Responsibilities:
Portfolio Analytics & Insights
- Analyze portfolio performance, delivery trends, financial metrics, resource data, risks, dependencies, and initiative-level information across Client Business Unit programs and projects.
- Develop portfolio-level insights and recommendations that support leadership planning, prioritization, investment conversations, and continuous improvement efforts.
- Identify patterns, trends, gaps, and opportunities across the portfolio using historical and current data.
- Support leadership in understanding the overall health, direction, and performance of the portfolio through data-driven reporting and analysis.
- Help connect portfolio activity to business outcomes, value realization, financial performance, and resource capacity considerations.
Financial Analysis & Planning Support
- Analyze portfolio budgets, forecasts, actual spend, investment categories, resource-related financials, and variance trends.
- Develop financial reporting views and visualizations that improve transparency and make financial performance easier to understand.
- Identify financial risks, variances, funding shifts, burn-rate concerns, and optimization opportunities for leadership consideration.
- Support planning conversations by providing financial and analytical insights that help leaders evaluate tradeoffs, constraints, and investment direction.
- Partner with IT finance, project, and portfolio stakeholders to improve consistency and reliability of financial reporting inputs.
Dashboard Development, Visualization & Apps
- Design, build, enhance, or lead the creation of dashboards, BU IT specific scorecards, self-service reporting views, and visual management tools for portfolio performance, financials, resources, capacity, delivery health, and trends.
- Build or support low-code/no-code applications that make portfolio information easier to capture, access, analyze, or present.
- Use tools such as Power BI, Power Apps, Power Automate, Microsoft Fabric, Copilot, Claude, Excel, AI-enabled analytics platforms, or similar technologies to improve portfolio visibility.
- Create intuitive visual stories that help leaders quickly understand what is happening in the portfolio, why it matters, and where action may be needed.
- Consolidate information from multiple sources, such as project management platforms, financial tools, Azure DevOps, ServiceNow, spreadsheets, and enterprise reporting systems, into user-friendly visual products.
AI, Automation & Process Improvement
- Identify manual, repetitive, fragmented, or inefficient portfolio processes that can be improved through automation, AI, apps, data integration, or redesigned workflows.
- Implement or partner with technical teams to implement automation solutions that streamline reporting, analysis, forecasting, intake, prioritization support, resource visibility, and portfolio health monitoring.
- Apply AI-enabled capabilities to accelerate analysis, detect trends, summarize information, generate insights, and reduce manual reporting effort.
- Recommend and implement practical process improvements that increase consistency, efficiency, transparency, and data quality across portfolio management practices.
- Develop reusable templates, metrics, reporting standards, and best practices that improve how portfolio work is measured, analyzed, and communicated.
Resource, Capacity & Trend Analysis
- Analyze resource capacity, demand, allocation, skill needs, utilization trends, and constraints across the portfolio to support leadership visibility.
- Create views and models that help leaders understand current and future resource implications based on portfolio demand and priorities.
- Identify emerging capacity risks or skill gaps and provide data-supported recommendations for leadership review.
- Support workforce and portfolio planning conversations by highlighting resource trends, constraints, and potential scenarios.
Executive Storytelling & Decision Support
- Translate complex portfolio, financial, resource, and delivery data into clear executive narratives, visuals, and recommendations.
- Prepare leadership-ready materials that communicate portfolio health, financial position, delivery trends, strategic risks, process gaps, and decision points.
- Tell the story of where the portfolio has been, where it is headed, and what trends or opportunities leadership should consider.
- Help leadership evaluate portfolio direction by incorporating data analysis, industry trends, delivery patterns, value realization, and operational insights.
Requirements:
Portfolio & Business Knowledge
- Strong understanding of project portfolio management concepts, program and project delivery lifecycles, portfolio health metrics, value realization, prioritization support, and delivery performance reporting.
- Ability to provide portfolio-level analysis and insight without requiring formal ownership of program or project execution.
- Understanding of how portfolio decisions are influenced by financials, resource capacity, business priorities, risks, and delivery constraints.
Financial & Analytical Capability
- Demonstrated experience working with budgets, forecasts, actuals, variance analysis, investment tracking, or resource-related financials.
- Ability to analyze complex data sets, identify trends, and translate results into understandable insights and recommendations.
- Comfortable preparing financial and portfolio insights for senior leaders and cross-functional stakeholders.
Visualization, Dashboarding & Technical Skills
- Hands-on experience creating dashboards, reports, visualizations, scorecards, or self-service reporting products using Power BI, Excel, Power Platform, Microsoft Fabric, or similar tools.
- Experience building or supporting apps, workflows, or automation solutions using low-code/no-code platforms such as Power Apps or Power Automate is strongly preferred.
- Ability to translate business questions into data requirements, metrics, visual designs, dashboards, and actionable insights.
- Experience using AI-enabled tools to improve analysis, reporting, automation, summarization, and insight generation is preferred.
- Ability to work with data from multiple systems and partner with technical teams to improve data integration, quality, and usability.

Experience:
- 5-8+ years of experience in portfolio coordination, PMO, portfolio analysis, business operations, technology delivery support, financial analysis, reporting, analytics, process improvement, or a related discipline.
- Experience supporting portfolio planning, financial reporting, resource analysis, governance reporting, or executive decision-support activities.
- Proven experience creating dashboards, scorecards, visual reports, leadership presentations, or analytics products that improve decision-making.
- Experience analyzing project, portfolio, financial, resource, or operational data and translating findings into clear recommendations.
- Experience identifying and implementing process improvements, reporting automation, workflow optimization, or business transformation opportunities.
- Experience with tools such as Power BI, Power Apps, Power Automate, Microsoft Fabric, Copilot, Azure DevOps, ServiceNow PPM, Excel, or comparable reporting and automation platforms is preferred.
- Experience in technology, agile, product, PMO, or enterprise delivery environments is preferred.
Preferred Qualifications:
- Bachelor s degree in Business, Finance, Information Systems, Analytics, Technology, or a related field preferred.
- Certifications such as PMP, PMI-PBA, SAFe, Lean Six Sigma, Agile, Power BI, Power Platform, or related analytics and process improvement credentials are preferred.
- Experience with PMO modernization, portfolio reporting transformation, or data-driven operating model improvements.
- Demonstrated ability to evaluate industry trends and translate them into practical improvements for portfolio reporting, analytics, automation, and decision support.
