Position Overview

We are seeking a motivated and detail-oriented Assistant Project Manager to support a construction-focused building technologies team. This role assists Project Managers with the daily coordination of multiple active projects, ensuring proper setup, compliance, documentation, and execution. The Assistant Project Manager works closely with site-based technical teams to address staffing needs, resolve issues, and report on project progress.

The position includes regular site visits, oversight of subcontractor and mechanical installation progress, and participation in material procurement and logistics. This is an excellent opportunity for an organized professional looking to grow within project management.

Key Responsibilities

• Maintain comprehensive project documentation, including:
• Compliance records
• Schedules
• Daily reports
• Labor tracking
• Change orders
• Quality control documentation
• Conduct routine visits to remote and active project sites
• Attend onsite meetings as required
• Monitor subcontractor performance and mechanical installation progress, providing updates to leadership
• Prepare and support change order development aligned with bidding and sales processes
• Participate in project procurement activities, including material submittals, transmittals, and logistics coordination
• Attend project meetings, record minutes, and communicate updates to management
• Track project schedules and ensure milestones, staffing, and deliverables are met
• Support site technical leads in resolving issues and meeting personnel requirements
• Analyze project data, trends, and reports to drive continuous improvement

Qualifications

• 1–5 years of project management experience, preferably within HVAC or mechanical construction
• Working knowledge of PM 101 principles
• Proficiency with the Microsoft Office Suite
• Ability to read project schedules and develop custom Gantt charts
• Familiarity with project management and bidding processes
• Ability to interpret Bills of Materials (BOMs) and control drawings
• Experience with material procurement, logistics coordination, and scheduling
• Understanding of contract administration and negotiation fundamentals
• Ability to identify project critical paths and support labor scheduling
• Strong written and verbal communication skills, including professional-level reporting

Preferred Skills

• Experience using Smartsheet
• Familiarity with commissioning activities and HVAC controls installation practices
• Knowledge of materials management best practices and project “L” levels
