.Job Summary: The Senior Fleet Specialist is a hands on fleet subject-matter expert responsible for executing day to day fleet operations across the full vehicle lifecycle ordering and upfit through deployment, maintenance, and end of life activities. This role ensures fleet assets remain safe, compliant, and available. The Senior Fleet Specialist supports field teams by troubleshooting and closing issues quickly and correctly and works with limited supervision, resolving complex non routine problems.

Provide daily support and troubleshooting for field teams and stakeholders Serve as a primary resource for fleet related questions and tickets, resolve issues involving vehicles, violations, incidents, documentation, and systems, and follow problems through to completion with clear communication.

Maintain accurate, detail driven fleet systems and records Perform data entry, monitoring, validation, and cleanup in fleet systems (e.g., EFM, Netradyne, and related tools) to keep vehicle status, assignments, mileage, registrations, devices, work orders, and incident records accurate and reliable.

Manage the full vehicle lifecycle to keep assets safe and available Coordinate vehicle ordering, upfit, deployment, maintenance/repairs, incident support, and end of life activities ensuring vehicles stay compliant and ready for field use.
Job Responsibilities: - Administer and coordinate safety camera installations and manage devices in fleet systems.
- Support vehicle ordering, upfit coordination, and deployment for new hires and replacement vehicles, including license plates, registrations, fuel cards, toll transponders, making keys and compliance/safety stickers.
- Coordinate vehicle registration, plate issuance, renewals, and required insurance documentation, including insurance cards.
- Review, approve, and coordinate vehicle maintenance and repair activities, including validating vendor recommendations and estimates.
- Track, document, and assist with all vehicle incidents and accidents to ensure complete and accurate records.
- Serve as the primary point of contact for fleet related tickets and issues, including parking violations, speeding tickets, and driver complaints (including non GPRS drivers).
- Provide fleet help desk support by responding to requests for vehicle location, usage, and mileage reporting for FSDs and other stakeholders.
- Maintain accurate fleet system data by performing regular data entry, monitoring, validation, and cleanup in EFM, Netradyne, and related systems.
- Coordinate vehicle movements, including new vehicle deliveries, transfers, reassignments, deliveries for 1099 employees, and lockbox processes.
- Coordinate fleet resources across the vehicle lifecycle, including upfit, assignment, maintenance, repairs (including rentals), replacement, and disposal including removal from service
- Track and report vehicle movements and fleet activity monthly.
- Anticipate next steps and look for ways to continuously improve the current practices and processes.
- 3 to 5 years of experience in fleet operations, vehicle coordination, equipment management, logistics, or a related operational support role.
- High school diploma or equivalent.
- Occasional monthly travel as needed to support the fleet.
- Strong computer proficiency, including experience using cloud based and enterprise tracking systems with demonstrated data accuracy and discipline; proficient in Microsoft Office, including Excel. Familiar with Help Desk Software, preferably Zoho.
- High attention to detail with the ability to manage multiple tasks and priorities in a fast paced environment.
- Ability to work independently with minimal supervision while collaborating effectively with cross functional teams.
- Demonstrated systems and data discipline, with the ability to accurately enter, monitor, validate, and correct data in enterprise tracking systems to support daily operations, compliance, and reporting.
- Strong technical aptitude, including practical knowledge of vehicle maintenance and repair; ability to assess and validate vendor repair recommendations, identify discrepancies or red flags, and provide clear, informed guidance based on experience and data.
- Troubleshoot complex, non routine issues and apply advanced judgment in ambiguous situations, balancing safety, cost, urgency, and operational impact through resolution while considering downstream business impacts.
- Demonstrated ownership for continuous improvement, improving efficiency and operational outcomes through standardized processes.
- Ability to anticipate and prevent operational issues by identifying data gaps, system limitations, or process inefficiencies and implementing practical, effective improvements.
