· Working knowledge of Microsoft 365 and Azure solution concepts, including SharePoint Online, Teams, Power Apps, Power Automate, Entra ID, and Power BI.
· Experience defining approval or governance workflows and integration requirements for service-management or workflow platforms.
· Ability to reason about APIs, data sources, security roles, row-level access, auditability, notifications, and operational support requirements.
· Excellent written and verbal communication, facilitation, executive presence, and stakeholder-management skills to drive the requirement gathering sessions.
· Ability to work from Austin and collaborate effectively with distributed onshore and offshore teams.
Preferred Qualifications
· Experience with AI governance, enterprise AI tool catalogues, responsible AI controls, or AI usage and cost management.
· Experience with FreshService, Azure DevOps or Jira, SharePoint portals, Viva Connections, Microsoft Graph, ChatGPT Enterprise, or Microsoft 365 Copilot reporting.
· Relevant certification such as IIBA CBAP/CCBA, PMI-PBA, PSPO, CSPO, or Microsoft Power Platform Fundamentals.
· Experience supporting global enterprises or federated, multi-department stakeholder groups.
Core Competencies
· Structured discovery and the ability to separate business needs from proposed solutions.
· Governance mindset covering approvals, controls, ownership, audit evidence, and exceptions.
· Delivery orientation with a focus on sprint-ready requirements, testing, and sign-off.
· Strong stakeholder influence, conflict resolution, scope discipline, and change control
Key Responsibilities:
· Plan and facilitate discovery workshops with business SMEs, IT, Network/Security, leadership, platform owners, and department representatives across seven departments.
· Document current-state and future-state requirements for AI tool discovery, access requests, approval routing, catalogue administration, spend visibility, and operational support.
· Map end-to-end governance workflows, including FreshService touchpoints, approval roles, status updates, Teams notifications, escalations, SLA reminders, periodic reviews, auto-deprecation, and admin digests.
· Define tool-catalogue metadata, personas, audience-targeting rules, department and role visibility, business rules, exception paths, and audit requirements.
· Write and maintain epics, features, user stories, acceptance criteria, process flows, traceability matrices, decision logs, and sprint-ready backlog items.
· Clarify reporting requirements for per-user, per-tool, and per-department usage and spend across custom AI tools, Microsoft 365 Copilot, and ChatGPT Enterprise.
· Partner with the Lead Architect and delivery team to validate feasibility, integration and data dependencies, identity/access assumptions, and non-functional requirements.
· Lead backlog refinement and sprint-level scope validation; identify access, licensing, API, stakeholder, and environment dependencies early.
· Support test-scenario preparation, defect triage, UAT facilitation, business validation, formal sign-off, runbook content, and knowledge transfer.
Maintain scope discipline by distinguishing agreed requirements, assumptions, exclusions, risks, dependencies, and items requiring formal change control.
