Position Title: Workplace Project Coordinator (Commercial Furniture & Field Execution)
Location: Glen Allen, VA (Hybrid In Office Tuesday Thursday)

Pay Rate: $35/hr - $40/hr on W2
Position Description:
We are seeking a Workplace Project Coordinator to support a high-performing Workplace & Design team focused on commercial furniture implementation, ADA compliance, and on-site project execution. This is a hands-on coordination and delivery role, not an interior design position.
The ideal candidate brings strong commercial furniture experience, enjoys working in the field, and excels at managing multiple work orders, vendors, and stakeholders simultaneously. This role requires flexibility for regional travel, nights, weekends, and occasional overtime, along with the ability to serve as a central point of coordination across internal teams and external partners.

Key Responsibilities:
Work Order & Furniture Coordination
Manage 10 30 active furniture and workplace tickets from intake through completion
Ensure all requests meet ADA requirements, building codes, and company standards
Coordinate with vendors, requestors, facilities, security, and internal partners
Review quotes, assist with pricing, warranties, cost centers, and purchasing approvals
Create existing and proposed furniture layouts for review and approval
Maintain accurate documentation in ticketing systems and shared repositories
Meet defined service-level agreements (SLAs)
Project & Field Execution
Coordinate and attend vendor site visits and escort vendors at corporate locations
Perform and document punch lists for furniture, artwork, and installations
Oversee furniture, artwork, and branding installations
Conduct field surveys, site walks, and site documentation
Track job costs and initiate purchase order requests
Maintain complete and accurate project documentation
Stakeholder Communication
Serve as a key point of contact between teams including Construction, IT, Facilities, Real Estate, and Security
Build and present implementation and installation decks using PowerPoint, Adobe Acrobat Pro, and CAD/Revit
Lead meetings to align on scope, timelines, risks, and next steps
Communicate project progress clearly and proactively
Moves, Assets & Space Support
Support move projects and seating reconfigurations
Update floor plans and seating assignments
Assist with CAFM and asset documentation as needed
Reporting & Metrics
Track and report monthly metrics such as installations completed, furniture counts, and locations supported
Support management dashboards and reporting
Additional Support
Travel Expectations:
Travel across Virginia, Maryland, and North Carolina
Travel frequency varies by project and quarter
Availability required for nights, weekends, consecutive days, and overtime
Use of personal vehicle required (mileage, hotel, and meals reimbursed)
Required Skills/Education:
3 5 years of commercial furniture implementation experience (execution-focused)
Strong working knowledge of ADA compliance and building codes
Proficiency with AutoCAD and/or Revit (2+ years preferred)
Ability to read and interpret floor plans and technical drawings
Experience with work order or ticketing systems (preferred)
Knowledge of furniture repairs, warranties, and vendor coordination
Strong Microsoft Office skills (Word, Excel, PowerPoint)
Experience using Adobe Acrobat Pro
Excellent written and verbal communication skills
Highly organized with strong attention to detail and follow-through
Self-starter with a proactive, problem-solving mindset
Ability to work independently and collaboratively in a fast-paced environment
