AI Project Coordinator (Remote)
Position Summary
The AI Project Coordinator is a highly collaborative role within the IT Platforms team focused on supporting the successful coordination, communication, and execution of enterprise AI initiatives across the organization. This role works closely with cross-functional stakeholders to help drive AI adoption, support governance processes, coordinate training and enablement efforts, and maintain visibility into ongoing AI projects and priorities.
The ideal candidate is organized, proactive, detail-oriented, and excited about emerging AI technologies. They are comfortable working across technical and non-technical teams, managing multiple priorities in a fast-paced environment, and helping bring structure and momentum to evolving AI programs and initiatives.

What You ll Do:
Project Coordination & Operations
- Coordinate day-to-day activities related to enterprise AI initiatives, pilots, and enablement programs.
- Track project timelines, milestones, deliverables, and follow-up items across multiple teams and stakeholders.
- Schedule and facilitate meetings, capture meeting notes, maintain action items, and support ongoing project communication.
- Maintain project documentation, implementation trackers, governance records, and status reporting materials.
- Assist with prioritization and coordination of AI-related requests, initiatives, and business needs.
- Support vendor coordination, proof-of-concept activities, and implementation planning efforts.
- Help improve and standardize project coordination processes related to AI programs and operational workflows.
AI Governance & Enablement Support
- Support AI governance activities by helping maintain AI tool inventories, documentation, approval workflows, and reporting.
- Partner with IT, Legal, Security, HR, Finance, and Operations teams to support alignment with enterprise standards and policies.
- Coordinate AI training sessions, workshops, demos, and internal enablement initiatives.
- Organize and maintain enablement resources including guides, presentations, FAQs, and knowledge base content.
- Help identify opportunities to improve adoption and communication related to enterprise AI tools and programs.
- Assist business teams in coordinating AI pilot programs and use case initiatives.
Communication & Stakeholder Engagement
- Prepare project updates, executive summaries, presentations, and internal communications related to AI initiatives.
- Support communication efforts that keep stakeholders informed on AI projects, adoption progress, and organizational initiatives.
- Collaborate with cross-functional teams to ensure alignment, transparency, and timely execution of deliverables.
- Serve as a central coordination point for project communications, scheduling, and follow-up activities.
- Contribute to a collaborative and organized remote team environment.
What Gets You the Job:
Required
- 2+ years of experience in project coordination, operations, technology support, business operations, or related roles.
- Hands-on familiarity with AI tools such as Gemini, Claude, ChatGPT, or similar platforms, including practical business use cases.
- Strong communication and presentation skills with the ability to train, demo, and engage users at all technical proficiency levels.
- Highly organized and proactive with experience coordinating projects, initatives, or technology adoption efforts across cross-functional teams.
- Experience coordinating meetings, tracking deliverables, and maintaining project documentation.
- Comfortable learning new technologies and supporting evolving business initiatives.
- Proficiency with collaboration and project management tools such as Jira, Asana, Monday.com, Smartsheet, Trello, or similar platforms.
- Ability to work independently in a fast-paced, fully remote environment.
Preferred
- Experience supporting AI adoption, digital transformation or enterprise technology initiatives.
- Exposure to AI governance, security, or enterprise tool evaluation processes.
- Experience creating training materials, workshops, or enablment content for business users.
