Summary

CTH Executive Assistant

Rate: open

End Salary: $70k-$80k + bonus

Location: Chicago, IL

Hybrid: 3 days onsite/week

Qualifications

  • Bachelor s degree and 5+ years of related experience
  • Industry Experience: Financial services, banking, capital market, or similar
  • Administrative Expertise: Broad knowledge of administrative and clerical procedures, with a track record of keeping executives and day-to-day operations running smoothly.
  • Organizational Excellence: Detail-oriented and systematic, with a consistent record of keeping operations on track and nothing falling through the cracks.
  • Communication: Drafts polished, professional correspondence and documents independently, requiring minimal revision from leadership.
  • Prioritization & Follow-Through: Manages time-sensitive tasks and competing demands with composure and sound judgment.
  • Proactive Problem-Solving: Anticipates needs, flags issues early, and implements solutions often before being asked.
  • Discretion & Professionalism: Trusted with confidential executive information; always maintains strict integrity.
  • Collaboration: Builds strong cross-functional relationships and supports colleagues at all levels.
  • Travel & Expense Management: Coordinates complex travel itineraries and manages expenses via Concur, Workday, and Deem.

Responsibilities

Executive and Calendar Support

  • Multiple executive calendar support - scheduling meetings, resolving conflicts
  • Coordinate domestic and international travel, including flights, hotels, ground transport, and detailed itineraries; manage follow-up expense reporting
  • Screen and prioritize email and correspondence; draft and route responses as needed
  • Handle confidential administrative, personnel, and organizational matters with the utmost discretion

Governance & Compliance

  • Prepare and organize materials for Board of Directors and Management Committee meetings, including briefings, agendas, and follow-up summaries
  • Compile and track information requests for internal audits, external audits, and regulatory exams, ensuring completeness and accuracy of all responses
  • Manage the policy and procedure review cycle, ensuring timely updates and proper version control

Communications & Documents

  • Produce high-quality reports, memos, letters, and presentations using Word, Excel, PowerPoint, and other platforms
  • Conduct research and synthesize data to support executive presentations and decision-making
  • Serve as a point of contact for internal and external stakeholders, directing inquiries and managing follow-through

Operations & Team Support

    • Identify inefficiencies in department processes and proactively implement solutions
    • Research, plan, and coordinate internal meetings and team-building events
      • Collaborate closely with other corporate assistants across the organization to ensure seamless executive support. Support front desk operations as needed, including greeting visitors and managing inbound calls
      • Manage general office operations including supply ordering, records maintenance, and expense reporting
      • Take on additional projects and responsibilities as business needs evolve
