Role: Emerging Talent Program Coordinator
Location - Los Gatos, CA

The Emerging Talent team serves as a strategic advisor to co-create early-career hiring and programs—including New Graduate Hires, Student Internships, and Talent Development Programs—tailored to each business’s unique goals. As a Program Coordinator on this team, you will be a foundational pillar of operational excellence that allows Emerging Talent pathways to flourish. You will work in close partnership with our Program Manager and Recruiters to provide essential lift in the planning, coordination, and administrative execution of ‘day to day’ work and long-tail initiatives. Your work will enable the team to scale impact, continue cultivating the next generation of Company leaders, and proactively map repeatable workflows to integrate AI-driven automations.
Responsibilities include, but are not limited to:
● Program & Operational Support: Collaborate with Recruiters, Program Managers, and cross-functional teams across Human Resources, Talent Acquisition, and Employee Services to provide year-round administrative support for Emerging Talent programs.
● Emerging Talent Participant Lifecycle Logistics:. Execute end-to-end internship operations, including onboarding, internal communications, training & events scheduling, feedback & evaluation performance management, and full program itineraries to ensure a seamless participant experience.
● Workflow Mapping & AI Integration: Assist Program Managers in auditing manual tasks to create repeatable process maps, and help identify or implement AI-driven triggers (status updates, data entry) to increase team productivity.
● Efficiency & Systems Analysis: Partner with the team to analyze existing workflows and suggest technical or creative approaches to meet programming needs more efficiently.
● Data & Infrastructure Maintenance: Ensure high data integrity across internal infrastructure, including candidate trackers, "living" documents, budget sheets, and sourcing databases.
● Feedback Management: Facilitate program feedback loops by organizing, distributing, and tracking evaluation forms at key milestones.
● Event Coordination (On-site & Virtual): Provide on-the-ground support in the Los Gatos office for event logistics, inclusive of booking spaces, calendar management, and attendee material preparation.
● External Engagement: Coordinate recruiting events and engagement opportunities with external partners to amplify the Company culture for emerging talent. Qualifications
● Previous experience coordinating complex event logistics and monitoring matrix operations with overlapping timelines.
● Proven success working in a high-volume coordination role where success is measured by the increased effectiveness and bandwidth of the team you support.
● A deep care for data accuracy and the ability to follow or build complex checklists to ensure no detail is missed in a fast-paced environment.
● Proficiency in auditing manual tasks and translating them into clear, repeatable process maps and standard operating procedures.
● Proficiency in technical tools (example: Airtable, Google Suite, Eightfold, and Zapier) paired with a natural curiosity for using AI tools to automate routine administrative tasks and streamline workflows.
● Deliver clear communication that builds connection and confidence across all collaborators and teams.
● Demonstrate proactive, self-starter leadership by anticipating risks and resolving issues before they impact the program or participant experience.
● Comfort navigating ambiguity and a willingness to pivot focus as business needs and program priorities evolve.
● Prior experience or exposure to University Recruiting, Emerging Talent, or Talent Acquisition/HR programming is preferred.
