responsibilities:
The IT Hardware Asset Management Analyst will be responsible for the enterprise-wide management of end user assets (PCs, iPhones, iPads, Accessories, etc) with primary focus on maintaining a hyper accurate CMDB in ServiceNow. The role will require knowledge of hardware inventory management, PC refresh scheduling, Procurement of hardware, and solid understanding of the PC life cycle from purchase to e-wasting and recycling. We are looking for an analyst who possesses the technical skills to effectively collaborate with a diverse set of technical resources. The successful candidate will have been a contributor in a large enterprise with 2 to 4 years of experience.
Essential Duties and Responsibilities:
- Manage and execute end-to-end Hardware Asset Management (HAM) processes, ensuring compliance with lifecycle standards and organizational policies.
- Validate and reconcile asset data across systems of record (e.g., ServiceNow CMDB and Flexera) to maintain accuracy of ownership, location, and configuration details.
- Coordinate procurement activities and maintain supporting data, including purchase details, license assignments, end-of-life (EOL) and end-of-support (EOS) timelines, contract terms, warranty coverage, and related financial information.
- Review and triage ServiceNow Incidents and Requests related to hardware assets, driving timely resolution and data integrity updates.
- Prepare and distribute standard and ad-hoc reports, highlighting inventory accuracy, compliance metrics, and opportunities to harvest or replace hardware with cost-effective alternatives.
- Analyze deployment trends by manufacturer and model, and provide actionable insights to support refresh planning for PCs, iPhones, and iPads.
- Monitor asset lifecycle changes and proactively alert stakeholders to updates that impact their operations.
- Investigate and resolve discrepancies to preserve the integrity of hardware and software asset data across all systems.
- Identify and report issues with asset tracking tools (e.g., ServiceNow, Flexera) and supporting integrations; collaborate with platform owners to remediate and strengthen processes.
- Develop and maintain HAM program documentation, including process workflows, work instructions, and governance standards to ensure consistency and audit readiness.
Minimum Qualifications & Experience:
- The desired candidate will be detail and task oriented while at the same time capable of seeing the broader picture.
- Capable of designing, developing, and generating reports to communicate and monitor compliance, liability, and budgetary data for software applications.
- 2-4+ years of experience in hardware management, associate's or bachelor's degree, or equivalent experience.
- Strong knowledge of MS Excel and VL Lookups.
- Should possess a solid understanding of IT Asset Management software management policies, procedures, and practices.
- Solid interpersonal, collaboration, communication and relationship skills delivering a positive customer experience.
- Strong organizational skills to manage multiple engagements simultaneously.
- Experience with data analysis tools including Excel and Power BI.
- Capable of working independently and able to handle multiple priorities.
Nice to Have:
- Prior experience with software tools such as Flexera, ServiceNow, SCCM, Intune, and Nexthink.
- Experience using HAM tools to update the CMDB well as the knowledge of how to manually reconcile data.
- Familiar with contract/agreement review and accurate interpretation.
- ITIL, COBIT or IAITAM Certifications
