This role focuses on project coordination, scheduling, documentation, status reporting, risk and issue tracking, and stakeholder communication across multiple infrastructure workstreams. The coordinator helps ensure activities, deliverables, dependencies, and integration milestones remain on track while supporting the successful execution of complex enterprise infrastructure projects.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working across IT infrastructure, facilities, network, data center, and operational teams in a fast-paced environment.
Key Responsibilities
Project Planning & Coordination
  • Support Infrastructure Project Managers with planning, scheduling, and execution of infrastructure integration and separation initiatives.
  • Maintain project plans, milestone trackers, workstream schedules, action items, and deliverable status.
  • Coordinate project meetings, working sessions, and stakeholder reviews.
  • Track dependencies and critical milestones associated with acquisitions, divestitures, carve-outs, and transition services agreements (TSAs).
  • Follow up with workstream owners to ensure tasks are completed on schedule, and project commitments are met.
Stakeholder & Vendor Coordination
  • Coordinate communication across IT, infrastructure, engineering, facilities, finance, operations, and business teams.
  • Work with vendors, consultants, and third-party integration partners to track deliverables, schedules, and outstanding requests.
  • Prepare meeting agendas, document decisions, distribute meeting notes, and maintain action-item logs.
  • Escalate overdue tasks, unresolved issues, and schedule risks to the appropriate Project Manager.
  • Support communication between technical teams and business stakeholders.
Project Reporting & Governance
  • Maintain project status reports, dashboards, milestone summaries, and management presentations.
  • Track project risks, assumptions, issues, and dependencies (RAID logs).
  • Assist with PMO reporting, governance activities, steering committee materials, and project reviews.
  • Monitor project schedules and deliverables against established timelines.
  • Maintain accurate records of scope changes, decisions, approvals, and project milestones.
Financial & Resource Tracking
  • Assist with tracking project budgets, expenditures, purchase orders, invoices, and vendor commitments.
  • Maintain resource assignments and track team capacity and deliverable ownership.
  • Support procurement coordination, vendor documentation, and contract-related tracking.
  • Identify discrepancies or emerging concerns in project costs and resource availability.
Risk, Documentation & Project Close-Out
  • Maintain project repositories, infrastructure inventories, integration playbooks, and transition documentation.
  • Track remediation items, mitigation activities, and outstanding technical or operational risks.
  • Coordinate readiness reviews, operational handoffs, and transition activities.
  • Support project close-out, lessons-learned sessions, and documentation of completed deliverables.
Required Qualifications
  • 5+ years of experience in project coordination, project administration, PMO support, or IT/infrastructure project delivery.
  • Experience supporting technical projects involving IT infrastructure, networking, data centers, cloud platforms, facilities, or enterprise systems.
  • Strong organizational skills and the ability to coordinate multiple workstreams, schedules, and deliverables simultaneously.
  • Experience maintaining project plans, status reports, action logs, RAID logs, and project documentation.
  • Strong written and verbal communication skills with the ability to work across technical and nontechnical teams.
  • Proficiency with project management and collaboration tools such as Microsoft Project, Excel, PowerPoint, SharePoint, Teams, Jira, or equivalent platforms.
  • Ability to identify scheduling conflicts, follow up on outstanding actions, and escalate risks proactively.
  • Strong attention to detail and ability to work independently in a fast-paced environment.
Preferred Qualifications
  • Experience supporting infrastructure projects related to mergers, acquisitions, divestitures, carve-outs, or business integrations.
  • Familiarity with Transition Services Agreements (TSAs), integration milestones, and infrastructure separation activities.
  • Exposure to enterprise infrastructure, including networks, servers, cloud, data centers, cybersecurity, facilities, or IT/OT environments.
  • Experience coordinating third-party vendors, consultants, or systems integration partners.
  • Familiarity with PMO governance, project dashboards, and executive reporting.
  • CAPM, PMP coursework, or other project management training is a plus.
