Position Summary
As a Retail IT Asset Management (ITAM) Coordinator, you will be responsible for the end-to-end lifecycle management of all mission-critical retail technology assets across our Philadelphia locations. Unlike a standard support role, this position prioritizes the governance, inventory integrity, and strategic deployment of hardware. You will serve as the gatekeeper for our POS ecosystem, ensuring that every device-from Windows-based terminals to payment peripherals-is accounted for, properly imaged, and strategically rotated to minimize operational risk and maximize ROI.
Key Responsibilities
Strategic Asset Lifecycle Management: Oversee the full "Cradle-to-Grave" process for POS hardware, including procurement intake, imaging/configuration, deployment, and certified decommissioning.
Inventory Governance: Maintain a "Single Source of Truth" within the ServiceNow CMDB, ensuring 100% accuracy of hardware status, location, and user assignment.
Deployment & Refresh Strategy: Lead large-scale hardware refresh projects and rollouts, managing the logistical flow of HP Engage Go systems and Ingenico terminals to ensure zero-downtime transitions.
Stock Level Optimization: Analyze and maintain "Spare Pool" levels to ensure rapid replacement capability while minimizing carrying costs of excess inventory.
Auditing & Compliance: Conduct regular physical audits of onsite hardware and peripheral stock (scanners, printers, card readers) to reconcile against digital records and identify "ghost" assets.
Vendor & Warranty Coordination: Manage hardware warranty claims and coordinate with vendors for repairs or replacements, ensuring the fleet remains under active support coverage.
ITIL Process Integration: Utilize ITIL-aligned workflows in ServiceNow to document asset transitions, ensuring all hardware moves are captured via Incident and Change Management protocols.
Qualifications & Skills
Asset Management Expertise: Proven experience managing high-volume hardware inventories in a retail or enterprise environment.
Technical Proficiency: High level of proficiency with Windows 10/11 and experience imaging hardware via PXE or USB boot for standardized deployment.
Platform Knowledge: Strong working knowledge of ServiceNow (ITAM/CMDB modules) and ITIL frameworks.
Hardware Ecosystems: Familiarity with HP Engage Go, Ingenico, or comparable retail hardware ecosystems.
Analytical Mindset: Exceptional ability to track data trends, identify inventory discrepancies, and optimize logistics for hardware rollouts.
Logistical Execution: Ability to work onsite 5 days a week in Philadelphia to manage physical stockroom organization and hardware staging.

System Maintenance: Provide comprehensive support for Windows 10 and Windows 11 operating systems across all retail devices.
Technical Troubleshooting: Diagnose and resolve complex hardware and software failures, peripheral connectivity issues, and OS-level glitches.
Project Execution: Lead and support store-wide device rollouts, hardware refreshes, and technology upgrades to ensure zero downtime for retail operations.
Inventory & Assets: Maintain an accurate database of all POS hardware inventory, ensuring spare pool levels are optimized and assets are tracked throughout their lifecycle.
Service Management: Utilize ServiceNow to document technical issues, track progress, and ensure all support tickets are resolved within established SLAs according to ITIL principles.

IT Asset Management experience
Technical Expertise: Demonstrated experience supporting Windows POS devices and a high level of proficiency with Windows 10/11.
Hardware Familiarity: Proven experience with HP Engage Go, Ingenico, or comparable POS ecosystems and associated peripherals (scanners, printers, card readers).
Project Experience: Solid track record of participating in hardware deployment or technology refresh projects in a retail or enterprise setting.
Process Knowledge: Strong working knowledge of ITIL frameworks and professional experience using ServiceNow for incident management.
Problem Solving: Exceptional analytical skills for troubleshooting OS and hardware-specific issues.
Communication: Excellent oral and written communication skills, with the ability to explain technical concepts to non-technical staff.
Physical/Logistical: Ability to work onsite 5 days a week in Philadelphia and handle physical hardware setups and installations.
