Role Overview
Our client is seeking an Administrative Assistant for their Alaska Digital Technology and Capital Projects teams. This role involves performing a variety of office and functional support duties, including meeting scheduling, reporting, onboarding support, and maintaining records. The position supports a large group and requires a personable, adaptable, and proactive individual with strong organizational skills who can interact well with leadership and manage tasks with minimal direction.
Key Responsibilities
- Manage managers' calendars to ensure time is used effectively, including scheduling appointments with internal and external personnel.
- Coordinate travel arrangements, understanding trip purposes, corporate travel policies, and international travel requirements.
- Proactively anticipate needs and assist in meeting plans and objectives across several time zones.
- Perform SAP Security Coordinator duties, including access requests, monitoring, and troubleshooting.
- Coordinate office and administrative support, such as filtering email, answering phones, managing visitor arrangements, and processing expense reports and invoices.
- Manage office supplies, office moves, North Slope travel coordination, and mail distribution.
- Assist with weekly report documentation, meeting scheduling, and preparing presentation materials.
- Prepare and maintain onboarding materials for new employees.
- Coordinate logistics and hospitality for external visitors.
- Provide back-up coverage for other Administrative Assistants and SAP Security Coordinators.
Required Qualifications
Experience: 5+ years of experience as an administrative assistant.
Technical Skills: Intermediate proficiency in Word, Excel, Outlook, and PowerPoint.
Authorization: Must be legally authorized to work in the United States on a full-time basis for anyone other than the current employer.
Preferred Qualifications
- 3+ years of direct administrative support for Digital Technology/IT and/or Capital Projects teams.
- 3+ years of experience organizing, prioritizing, and multitasking under tight timelines with limited direction.
- 1+ years of experience handling confidential information with discretion.
- Basic knowledge of SAP.
- Demonstrated ability to build positive relationships, seek collaboration, and drive positive performance.
- Resourcefulness, flexibility, and a positive attitude toward change and continuous improvement.
Compensation & BenefitsThe pay rate for this position is between $25 and $30 an hour.
