Summary

Description

We are looking for a Project Manager to lead the creation and rollout of a global Workplace Experience Playbook that supports hospitality-focused office operations in San Francisco, California. This long-term contract position will drive discovery, journey mapping, documentation, and stakeholder readiness to establish consistent workplace standards ahead of a major office launch. The role works closely with workplace, security, IT/AV, and event-related partners to translate operational needs into practical processes, governance, and user guidance.

Responsibilities:

Lead a multi-phase project to build a comprehensive workplace operations playbook that defines service standards, workflows, and governance for office experiences.

Facilitate cross-functional interviews and working sessions to gather operational insights, identify friction points, and align stakeholders on priorities and delivery goals.

Review current workplace technologies and usage patterns to assess effectiveness across reservations, calendars, registrations, and related employee-facing tools.

Create detailed journey maps for employees, assistants, planners, executives, board members, and external visitors, covering both digital interactions and in-office experiences.

Produce clear operational documentation that outlines scheduling rules, space prioritization, service procedures, and decision-making responsibilities.

Coordinate with security, IT/AV, workplace experience, and real estate partners to ensure processes reflect compliance, hospitality, and technical requirements.

Support change management and stakeholder enablement efforts by preparing training materials, communications, and adoption guidance for new workplace standards.

Track project milestones, risks, feedback, and reporting metrics to keep the engagement on schedule and aligned with launch expectations.

Requirements

Proven experience managing complex cross-functional projects in workplace operations, hospitality, consulting, or corporate real estate environments.
Strong background in process design, documentation, and policy development with the ability to turn operational needs into structured playbooks or standard procedures.
Experience evaluating digital workplace tools such as room or desk reservation platforms, calendar systems, registration tools, or related office technologies.
Ability to lead stakeholder interviews, workshops, and alignment sessions with teams such as workplace services, security, IT/AV, and event support functions.
Knowledge of compliance, governance, scheduling controls, and service delivery considerations within office or guest-facing environments.
Excellent written and verbal communication skills, including the ability to produce training content, reporting materials, and executive-ready updates.
Skilled in change management, prioritization, and driving implementation across multiple business partners and user groups.
