Job Summary

We are seeking an experienced Program Manager Document Management to lead enterprise document intake, processing, and lifecycle management initiatives. This role requires a seasoned professional who can assess current-state document workflows, identify inefficiencies, and drive business process improvements to reduce manual effort and improve accuracy.

The Program Manager will oversee all aspects of document intake including fax, email, physical mail, and electronic channels and ensure documents are properly classified, indexed, routed, and stored in compliance with organizational policies and regulatory requirements.

A key focus of this role is leveraging AI/ML technologies to automate document classification, data extraction, and routing. The ideal candidate will bring strong expertise in electronic document and content management systems and act as a subject matter expert for document management strategy and operations.

Key Responsibilities

Program Leadership & Team Management

  • Lead, mentor, and manage a team of document management professionals.
  • Establish governance frameworks, including SLAs, KPIs, and operational metrics.
  • Oversee program execution, timelines, and cross-functional coordination.
  • Provide regular updates to leadership on program performance, risks, and improvements.

Business Process Improvement

  • Analyze current document workflows to identify inefficiencies and optimization opportunities.
  • Develop process documentation including workflows, diagrams, and future-state models.
  • Implement process improvements across document intake, classification, routing, and storage.
  • Apply continuous improvement methodologies such as Lean or Six Sigma.

Document Capture & Routing

  • Manage document capture platforms (e.g., fax, scanning, email ingestion).
  • Configure and maintain routing rules for accurate document distribution.
  • Ensure seamless integration with downstream systems and applications.
  • Evaluate and recommend new document capture and processing technologies.

Content Management Systems (ECM/EDMS)

  • Administer and optimize enterprise document/content management systems.
  • Define document taxonomy, metadata, retention policies, and access controls.
  • Collaborate with IT to ensure system reliability, upgrades, and performance.

AI/ML & Automation

  • Implement AI/ML solutions for document classification, OCR enhancement, and data extraction.
  • Improve automation accuracy through continuous model refinement and feedback loops.
  • Measure and report automation impact (efficiency, accuracy, cost savings).
  • Stay updated on emerging intelligent document processing technologies.

Stakeholder Engagement

  • Gather and analyze business requirements from stakeholders.
  • Translate requirements into technical solutions and system designs.
  • Act as a liaison between business, IT, vendors, and compliance teams.
  • Communicate technical concepts clearly to non-technical audiences.

Required Qualifications

  • Bachelor s degree in IT, Business Administration, Computer Science, or a related field.
  • 10+ years of experience in document management, content management, or records management.
  • 5+ years of program or team management experience.
  • Hands-on experience with document capture and workflow tools (e.g., fax servers, scanning solutions).
  • Strong experience with enterprise ECM/EDMS platforms.
  • Proven experience implementing AI/ML solutions for document processing.
  • Experience with business process analysis and documentation techniques.
  • Knowledge of OCR, ICR, and document processing technologies.
  • Strong analytical, problem-solving, and communication skills.
  • Experience with Agile, Waterfall, or hybrid project management methodologies.
  • Ability to manage multiple projects and priorities simultaneously.

Preferred Qualifications

  • Master s degree in a related field.
  • PMP or equivalent certification.
  • Lean Six Sigma certification (Green Belt or Black Belt).
  • Certifications in document/records management (e.g., CIP, CRM).
  • Experience with RPA tools.
  • Knowledge of regulatory compliance frameworks.
  • Experience with cloud-based content management systems and migrations.
