Job Description:

We are seeking an experienced and highly organized Administrative Assistant to support senior leadership in a fast-paced, complex global environment. This role requires strong communication skills, adaptability, and the ability to manage competing priorities with professionalism and efficiency.

The Administrative Assistant will also serve as a backup to an Executive Assistant, ensuring seamless support during high-demand periods. This position requires regular onsite presence in Austin, TX.


Key Responsibilities:

  • Provide high-level administrative support to senior leaders and executives
  • Manage complex, frequently changing calendars across multiple time zones
  • Coordinate meetings, prepare agendas, and track follow-ups/action items
  • Arrange domestic and international travel, including itineraries and logistics
  • Prepare and manage executive expense reports with accuracy and compliance
  • Anticipate business needs and proactively adjust schedules and priorities
  • Act as a backup to Executive Assistants as needed
  • Handle confidential and sensitive information with discretion
  • Build strong relationships with stakeholders across global teams
  • Support internal communications, reporting, and special projects

Required Qualifications:

  • 5+ years of experience as an Administrative Assistant or Executive Assistant
  • Experience supporting senior leadership in fast-paced, global environments
  • Strong organizational, multitasking, and time management skills
  • Excellent written and verbal communication skills
  • Ability to manage competing priorities with high attention to detail
  • Strong interpersonal skills and ability to work cross-functionally
  • Ability to work independently with sound judgment

Technical Skills:

  • Advanced proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint)
  • Experience with calendar management, travel coordination, and expense reporting tools
  • Familiarity with Microsoft Copilot or AI productivity tools is a plus

Additional Details:

  • Onsite role candidates must be willing to work from Austin, TX
  • Strong preference for candidates with experience in global or matrixed organizations
