Operations Business Coordinator (Remote)
Job Summary: 

The Operations Business Coordinator focuses on financial operations ensuring  all financial activities align with strategic priorities and business goals.This is a  pivotal role responsible for vendor management, budget tracking, monitoring  expenses, processing invoices and ensuring accuracy of payments with on-time delivery for the Marketing Communications group.  

Description: 
• Vendor & Stakeholder Management: Collaborate with leads and stakeholders on production budgets, execution, and maintenance. 
•  Maintain strong relationships with vendors, ensuring timely invoicing, payment processing, and resolution of issues.
• Invoice Processing & Financial Reconciliation: Ingest estimates, invoices, and accruals.
•  Check for accuracy and submit for approvals.
• Develop,review, and approve purchase requisitions and invoices from vendors. 
• Address discrepancies related to payments, invoices, or purchase orders. 
• Accruals: Work with various departments to manage accruals, and contribute to financial performance measures.
• Data Management: Ensure that all financial data is accurate, up-to-date, and readily accessible for analysis and reporting
• Provide documentation and support to Operations Business Manager and senior stakeholders as  needed.
• Process and Tools: Participate in the building and implementation of new  systems and process improvements to deliver efficiency and  standardization.
• Communication and collaboration: Work with cross functional teams to  build and improve on the creation and review process for production budgets.

Key Qualifications: 
• 5-7 years of experience in managing budgets and financial operations,preferably in creative organizations or financial operations roles.
• BA/BS in Finance, Accounting, Business, or a related field.
• Proficiency in financial software systems and advanced Excel skills, including pivot tables and complex formulas.
• Experience in finance data tracking and analysis for marketing communication groups.
• Strong stakeholder management skills, with experience working with senior leadership.
• Excellent communication, teamwork, and problem-solving skills.
• Ability to manage multiple projects simultaneously and work effectively in a fast-paced, highly matrixed environment.
• Familiarity with systems and tools; experience with Airtable or similar project management tools is a plus
• Knowledge of general accounting principles and systems.

Preferred Skills: 
• Experience in the media industry.
• Ability to work independently and take initiative in solving complex problems.
