Benefits Re-implementation: Build, Test, and Deploy
-
- Take ownership of the in-flight foundational Workday Benefits re-implementation and lead the remaining workstreams through completion
- Build, test, and deploy reports and dashboards that enable Benefits COE members to:
- Monitor benefit transactions and ensure timely submission
- Monitor temporary employee and intern hour thresholds for new benefit eligibility
- Validate that benefit events are triggered for relevant worker movement events
- Audit for invalid benefit enrollments
- Submit self-reported billing with little to no manual manipulation
- Monitor payroll benefit and 401(k) deductions
- Validate report security and ensure Benefits COE members have appropriate access to all required reports
- Create test plans and partner with the Benefits COE to ensure every test case is executed, tracked, and passed successfully
- Deploy approved changes to Production, including new reports, the new Enrollment Event Rule, new Benefit Plan Eligibility, and new Benefit Groups
- Identify and manage technical risks and dependencies to keep the implementation on schedule
- Monitor and support the new configuration after deployment, documenting issues, assessing their impact, and prioritizing fixes with stakeholders
- Develop documentation and training materials for Benefits COE teams on the new configuration, and deliver training sessions
- Measure and report on the improvements delivered by the implementation, including:
- Benefit events triggered automatically versus manually
- Benefit event completion periods
- Benefits COE satisfaction with the system

Backlog, Stakeholder, and Configuration Management

- Serve as the lead systems partner to Benefits and Payroll stakeholders, communicating status, risks, and decisions clearly and proactively
- Maintain and prioritize the Benefits and Payroll system roadmap and backlog, balancing business value, risk, and effort
- Create, refine, and complete Jira stories with clear requirements and acceptance criteria, in line with sprint timelines
- Partner with team members to design and execute Workday configuration
- Review and approve junior team members’ configuration against defined test plans before migration to Production, upholding change control standards
- Perform system health checks and data audits to maintain the integrity of benefit and payroll data
- Support additional Talent Apps projects as needed

Benefit Integrations

- Serve as the functional lead for Benefits integrations, including Cloud Connect for Benefits (CCB), Enterprise Interface Builder (EIB), and custom Workday Studio integrations
- Manage and monitor integration schedules and Open Enrollment integration launches
- Translate requirements from the business and from external benefit partners into technical designs and specifications, and direct the Integration Development team in building new integrations as needed
- Lead integration testing, coordinating with Benefits COE and external benefit partners to validate results and resolve issues
- Troubleshoot integration errors and data discrepancies through to resolution

Open Enrollment Testing and Launch

- Complete all Open Enrollment configuration changes and updates, making sure the system is fully configured and ready before testing begins
- Lead Open Enrollment testing, partnering with the Benefits COE to create the necessary test plans
- Start the system processes needed to run testing
- Keep test case and defect tracking reports accurate and up to date
- Partner with the Benefits COE to answer questions, troubleshoot issues, and make configuration corrections throughout testing
- Obtain the required sign-offs and migrate approved configuration to Production
- Launch the Open Enrollment process in Production at the appropriate time

Year-End and ACA Reporting

- Serve as the technical lead and owner of the year-end W-2 generation and Affordable Care Act (ACA) reporting processes
- Partner with Payroll to execute W-2 generation, validating data and resolving issues before deadlines
- Represent TSG in meetings with the ACA vendor and Bain business partners
- Ensure ACA data is complete and accurate, systematically correcting errors identified by the Benefits COE or ACA vendor
- Partner with the ACA vendor on testing and troubleshooting
- Perform the EIB loads needed to prepare and correct ACA data

REQUIRED:
6+ years of progressive HRIS experience, including at least 4 years of hands-on Workday Benefits configuration and implementation
Demonstrated expertise configuring Workday Benefits, including benefit plans, Benefit Groups, eligibility rules, Enrollment Event Rules, and Open Enrollment
Working knowledge of Workday Payroll, including benefit deductions and year-end processing
Experience leading Open Enrollment configuration, testing, and launch in Workday, from test planning through Production go-live
Experience building, testing, and deploying Workday reports, including configuring and troubleshooting report security and access
Working knowledge of Workday Benefits integrations, including Cloud Connect for Benefits (CCB), EIB, and Workday Studio, with the ability to write technical specifications and lead integration testing with external benefit partners
Experience owning year-end W-2 and ACA reporting processes, including partnering with an ACA vendor and performing EIB data loads
Experience creating test plans and managing test execution, defect tracking, and sign-off with business stakeholders
Experience reviewing and approving configuration changes made by others, and enforcing change control standards before Production migration
Proven track record of partnering with Benefits and Payroll stakeholders to shape system roadmaps, prioritize backlogs, and resolve issues
Meticulous attention to detail, with a demonstrated ability to validate the accuracy and completeness of data, particularly for regulatory reporting such as ACA and W-2
A rigorous, disciplined approach to reviewing configuration changes against test plans, catching errors before they reach Production
Ability to build trusted relationships with Benefits and Payroll stakeholders and guide roadmap and backlog decisions that balance business value, risk, and effort
Strong analytical and problem-solving skills, including root-cause analysis and solution design
Ability to translate requirements from the business and external partners into scalable technical solutions and clear specifications
Ability to ramp up quickly, work independently, and prioritize competing demands against fixed deadlines
Excellent written and verbal communication skills, with a client-service orientation and the ability to influence stakeholders at all levels, including external vendors
Working knowledge of U.S. benefits administration and regulatory requirements, including ACA and year-end W-2 reporting
Sound judgment and discretion in handling confidential employee data
PREFERRED:
Advanced Workday reporting experience, including matrix and composite reports, calculated fields, and dashboards
Experience leading a Workday Benefits implementation or re-implementation
Experience working in an agile delivery model using Jira
Experience in a global or professional services organization
Familiarity with benefit carrier file standards (e.g., EDI 834)
Experience applying change management practices to drive user adoption
Experience designing and delivering training for HR and Payroll audiences
