The Work

The Office Administrator and Classification Analyst is a dual-function professional responsible for providing efficient administrative support to office operations. This role ensures the smooth functioning of daily office activities, maintains accurate records, and supports client stakeholders.

Responsibilities

Key Responsibilities
  • Perform management and/or program support work, such as planning, research, analysis, correspondence control, communication, and/or liaison responsibilities.
  • Arrange meetings including setting up conference rooms and/or virtual meeting platforms.
  • Coordinate with counterparts to track and monitor correspondence within the office and bureaus, as necessary.
  • Ensure the quality and timeliness of written products drafted within office and bureaus by providing guidance, enforcing deadlines, and reviewing for format, style, coherence, accuracy, content, and clearances.
  • Make necessary corrections or return documents to originator for changes.
  • Advise office and bureau personnel of overdue action items, upcoming deadlines, priority of issues, format and procedures for processing documentation.
  • Respond to inquiries from both within and outside the client's office concerning the status, location, subject matter, and deadlines of documents and taskers.
  • Determine the feasibility of meeting deadlines on specific documents and notifying originator if an extension is required.
  • Coordinate the office's schedule and day-to-day plans for client stakeholders.
  • Coordinate and collect Time and Attendance (T&A) report every pay period for the client and maintain backup files of time and attendance in accordance with records management principles and submit to the T&A Team leader/or backup staff.
  • Perform duties as an alternate Unit Security Officer in accordance with Department Policy and Regulations under the direction of the Bureau Security Officer.
  • Arrange appointments for client stakeholders that include courtesy calls, conferences, and scheduled meetings with their counterparts in other agencies, non-governmental organizations, foreign governments, and the private sector.
  • Oversee records and ensure office-level system compliance regarding records scheduling, management, and disposition with Federal regulations as set forth by the National Archives and Records Administration (NARA) liaisons within the Department.
  • Plan, organize, and implement all necessary pre-departure domestic and international travel arrangements for client stakeholders
  • Obtain all necessary country clearances from post in host countries, visas, ground and air transportation, and lodging as required.
  • Send and receive office correspondence in accordance with Bureau guidelines and standards.
  • Collaborate with Cayuse Human Resources to review, analyze, and update position descriptions for client-related roles, ensuring accuracy and alignment with organizational standards.
  • Prepare and draft new position descriptions for client-related positions as required, subject to review and approval by Cayuse Human Resources.
  • Prepare offices for desk audits.
  • Liaise with central HR to conduct desk audits.
  • Other Duties as assigned.


Qualifications

Qualifications - Here's What You Need
  • Knowledge of the bureau mission and organizational goals.
  • Knowledge of the bureau organizational structure.
  • Knowledge of OPM's classification standards.
  • Knowledge of agency's classification policy.
  • Secret Security Clearance is required.
  • Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.

Minimum Skills:
  • Excellent problem-solving and analytical skills.
  • Strong communication and interpersonal skills.
  • Strong technical skills in network hardware, software, and operating systems.
  • Strong systems management and integration skills.
  • Ability to respond effectively to customers with a sense of urgency.
  • Proficient in Microsoft and Adobe toolsets, including Excel, Word, PowerPoint, Acrobat, etc.
  • Highly motivated with the ability to handle and manage multiple tasks at any one time.
  • Ability to forge new relationships, individual and teaming in nature.
  • Must be a Self-starter, that can work independently and as part of a team.

Working Conditions
  • Professional office environment, with the ability to work onsite in the main office.
  • Must be physically and mentally able to perform duties extended periods of time.
  • Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position.
  • Must be able to establish a productive and professional workspace.
  • Must be able to sit for long periods of time looking at computer screen.
  • May be asked to work a flexible schedule which may include holidays.
  • May be asked to travel for business or professional development purposes.
  • May be asked to work hours outside of normal business hours.

Pay Range
