Job Description:
Pay Range: $31.46hr - $37.45hr
  • The Administrative Assistant FP&A provides high-level administrative and operational support within a fast-paced Finance and G&A environment.
  • This role supports document workflows, legal coordination, executive calendar management, procurement tracking, internal communications, event coordination, and cross-functional initiatives.
  • The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities with professionalism and discretion.
Responsibilities:
  • Manage high-volume signature and document workflows, ensuring timely routing, tracking, and completion.
  • Monitor and respond to email inquiries related to document requests and approvals, ensuring timely follow-up.
  • Coordinate with Legal teams to ensure documents are reviewed and approved before routing for signature.
  • Extract, organize, print, and manage signature requests from complex email threads.
  • Coordinate shipping, notarization, and legalization of documents with external vendors while ensuring compliance with legal protocols.
  • Track and follow up on notarization and legalization processes with precision and attention to detail.
  • Provide calendar and scheduling support, including meeting coordination and conflict resolution.
  • Support Town Hall preparation, presentation materials, room setup, A/V coordination, and hybrid event logistics.
  • Research and organize quarterly team-building activities and office events.
  • Greet and assist guests, including coordinating logistics for investor and on-site meetings.
  • Assist with purchase order requests and track procurement processes to ensure timely completion.
  • Manage and maintain email distribution lists and internal communication channels, including onboarding and offboarding updates.
  • Coordinate with IT and People Operations to ensure accurate access permissions.
  • Maintain shared drives, folders, templates, policies, and onboarding documentation.
  • Support special projects, travel arrangements, expense reporting, and internal communications as needed.
Requirement/Must Have:
  • Experience providing administrative support within a fast-paced Finance or corporate environment.
  • Exceptional calendar management and organizational skills.
  • Strong verbal and written communication skills.
  • High level of integrity, professionalism, and confidentiality.
  • Ability to manage multiple projects proactively with strong attention to detail.
  • Advanced proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and experience with shared drive platforms.
  • Strong time management skills with flexibility to accommodate changing priorities.
  • Ability to work independently and collaboratively across teams.
  • Strong analytical and problem-solving skills.
Should Have:
  • Experience supporting executives within a corporate organization.
  • Experience in a fast-paced start-up environment.
  • Experience working in a diverse, multicultural environment.
  • Knowledge of corporate policies, procedures, and organizational structures.

Qualification And Education:
