Role Overview
The
Project Support Administrator provides day-to-day administrative, coordination, and executive support to senior leaders within the Strategy & Enterprise Transformation organization. This role acts as a central point of organization and follow-through-ensuring leadership has accurate information, clear documentation, and well-prepared materials to support decision-making.
Serving as a trusted extension of project leaders and executives, this role focuses on executive readiness, cross-functional coordination, and operational discipline across multiple enterprise initiatives. It is well-suited for an individual with strong administrative instincts who enjoys supporting leadership, organizing complex work, and keeping initiatives on track behind the scenes.
Key Responsibilities
- Provide administrative and coordination support to project owners and senior leaders across enterprise initiatives
- Maintain leadership-level project trackers, timelines, deliverables, and documentation used in executive reviews
- Track decisions, action items, risks, and dependencies to support accountability and governance
- Prepare concise status summaries, briefing notes, and slide updates for executive and C-suite audiences
- Compile updates from cross-functional partners into polished, leadership-ready templates and decks
- Support executive meeting preparation, including agendas, materials, notes, and follow-up actions
- Capture and distribute meeting notes, decisions, and next steps to ensure clarity and alignment
- Coordinate with stakeholders across Marketing, Operations, Finance, Technology, and People teams
- Maintain shared repositories, roadmaps, and documentation to ensure leaders have up-to-date visibility
- Proactively follow up on open items, missing inputs, or stalled work that could impact leadership commitments
- Serve as a reliable point of coordination to keep senior leaders informed without adding noise
Required Qualifications
- Bachelor's degree in Business, Operations, Communications, or a related field (or currently pursuing)
- Internship, academic, or early professional experience in one or more of the following areas:
- Executive administrative or leadership support
- Project coordination or PMO support
- Operations, consulting, or transformation environments
- Strong organizational, time-management, and follow-through skills
- High attention to detail and discretion when working with leadership information
- Proficiency in Excel and PowerPoint for tracking, summaries, and executive updates
- Ability to manage multiple priorities and support several leaders or workstreams simultaneously
- Professional written and verbal communication skills appropriate for senior-level interaction
Preferred Qualifications (Not Required)
- Prior experience supporting executives, directors, or program leadership
- Exposure to project tracking or collaboration tools (Smartsheet, Monday.com, Airtable, etc.)
- Comfort working in structured, fast-paced environments with shifting priorities
- Interest in enterprise operations, governance, or leadership enablement
