Location: San Antonio, Texas (On-site)
Employment Type: Contract through end of year. Can extend.
Schedule: 4 days onsite, 1 day remote. M-F 8-5.
Role Overview
The Committee Minutes and Records Specialist is responsible for supporting management committees by producing accurate, balanced, and audit-ready minutes. This role involves maintaining the official historical records of committee deliberations and actions and ensuring all documentation meets established standards.
Key Responsibilities
- Prepare and maintain formal meeting minutes that are clear, concise, and impartial, adhering to established templates and formatting rules.
- Record committee meetings to create detailed and accurate meeting minutes.
- Capture attendance, quorum, discussions, deliberations, actions, and votes.
- Manage confidential sessions by documenting attendees and decisions while coordinating with legal on privileged information.
- Follow a standardized post-meeting timeline for draft circulation, review cycles, revisions, and final archival.
- Maintain reference materials and checklists to support the minute-taking process.
- Coordinate with the Committee Coordinator to track action items and ensure approved minutes are signed and archived.
- Utilize Word to create meeting minutes and store them in Box or an equivalent document repository.
Required Qualifications
Experience: A minimum of three years of experience is required in the following areas:
- Technical writing and minute-taking, with an ability to summarize complex discussions objectively.
- Document control and versioning processes.
- Effective communication and interpersonal skills to liaise with chairs, presenters, and legal teams.
Technical Skills: Proficiency with the following tools is required:
- Microsoft Word
- Microsoft PowerPoint
- Box, GEMS, or an equivalent document repository
General Skills:- Discretion and the ability to handle confidential and sensitive information, including Confidential Supervisory Information (CSI).
Preferred Qualifications
- Prior experience supporting executive or governance committees.
- Certifications in project or operations management (e.g., PMP, CAPM).
- Previous exposure to banking or regulatory environments.
Compensation & Benefits
