Role: IT Project Coordinator
Location: onsite (Hartford, CT)
Job Description:
IT Project Coordinator:
· Provide project administrative Support: Handle scheduling, data entry, and other administrative tasks to support smooth project execution.
· Set up meetings, create agendas, take/distribute meeting notes, followup on action items with project resources.
· Assist Program/Project Managers with tracking project activities in MS Project.
· Follow-up with project resources on their project activities to validate work is getting completed.
· Gather and consolidate project status from multiple workstreams and update various status reporting mechanisms (Clarity, multiple reporting PPT decks)
· Assist PM in tracking project financials in Clarity.
· Track the team’s adherence to the IT Project Methodology documentation. Assist PM in creating project artifacts.
· Work proactively ahead of Project Audits to ensure Project artifact compliance.
· Assist with creation of Steering Committee and Portfolio Review PPT decks
· Keep Project requirements, documentation and status up to date in Azure DevOps if needed
· Input Statements of Work and Changes Requests into our financial invoice tracking system (Coupa) and confirming that hours charged on incoming invoices match time entered into Planview and confirm total dollar invoice amounts (SOW/CR rates x hours worked). Once confirmed process invoices to enable vendor payments.
· Assist with vendor invoicing process by confirming invoiced hours against time entry in Clarity and work with multiple vendors on any necessary reconciliation
Required working experience & education
· 3 – 5+ years of IT Project Manager/Coordinator experience
Required Skills and qualifications
· Project Management Experience
· Clarity, Planview or like PPM tool
· Microsoft Project, Powerpoint, Excel
· Knowledgeable of an Agile and Waterfall methodologies
· Agile tool such as Azure DevOps, Jira, Rally
· Proactive, takes initiative, accountable, self-motivated.
