Job Description:
The CTED Above-The-Line (ATL) Program Coordinator will support the Manager of ATL programs by helping to operate, streamline, and scale programs for directors, writers, and producers.
This role is equal parts operations and program coordination, with a strong emphasis on helping the manager build and streamline workflows across multiple programs.
The ideal candidate is highly organized, curious, innovative, proactive, detail-oriented, and comfortable working with both external creative talent and internal cross-functional teams. Additionally, the right candidate has the ability to build collaborative relationships with colleagues and external partners.
Responsibilities:
Program Operations & Workflows
Partner with the Manager of Talent Development to build, document, and refine workflows for each above-the-line program.
Maintain and continuously improve program timelines and checklists to ensure programs run smoothly and efficiently.
Maintain ATL program data in CTED''s Central Airtable tracker.
Assist in monitoring program milestones and deadlines. Identify bottlenecks or inefficiencies in existing workflows and propose practical improvements.
Coordinate logistics for program activities, including masterclasses, workshops, labs, and events (virtual and in-person as applicable).
Administrative & Program Support
Help the Manager of ATL programs screen emails from participants and alumni, including invitations, confirmations, follow-ups, and general inquiries.
Prepare, distribute, and organize program-related documents as needed (NDAs, release forms, agreements, guidelines, FAQs, etc.).
Maintain organized, up-to-date Google Drive files for all programs (e.g., program memos, decks, reports, agreements, etc).
Track and maintain contact lists, bios, and other relevant information for talent, mentors, speakers, and partners participating in the ATL programs.
Assist with scheduling meetings with cross-functional partners, program participants and alumni, masterclasses, workshops, etc. as needed. Presentation & Communication Support
Develop and update decks and presentations for internal and external talent and partners, including program overviews, program updates, recaps, etc.
Assist in creating one-pagers and other program-related materials.
Proactive Support & Strategic Assistance
Anticipate program needs and proactively suggest tools, templates, and process improvements that increase program efficiency and clarity.
Monitor industry trends in talent development and similar programs to help inform best practices and enhancements.
Assist with quantitative and qualitative data collection and reporting, including participant feedback, engagement, and program outcomes, to support evaluation and future planning. Other ad hoc program coordination duties as assigned. Requirements
Experience in coordination, operations, or program support roles.
Strong organizational skills and attention to detail, with the ability to manage multiple tasks and meet deadlines.
Proficiency with basic data tracking tools (Google spreadsheets and Airtable) and willingness to learn new systems.
Proactively anticipates manager and program needs, taking initiative to address issues and opportunities with minimal direction.
Strong written and verbal communication; responsive and service-oriented.
Interest in talent development, expanding access, and/or entertainment/production.
Nice To Have
Experience working at a fast-paced tech company and/or entertainment studio is a plus.
