Summary

Title: SAP Project Manager – Resource, Financial & Vendor Management (PMO)  

Duration: 12+Months

Location: Oakland, CA (More of a remote role - must go onsite 1-2 x per week in beginning to learn, then there will be flexibility for remote work.   Must go onsite every month for monthly review meeting.)

Role Overview
- This is a mix of Project Coordination / Project Management skills to support multiple PM''s.
- Target 7-10 yrs. exp candidate.
Non-Negotiable Skills & Experience (Most Important First)
  • PMO / Project Coordination experience supporting multiple Project Managers and tracking project deliverables
  • Resource management experience including staffing coordination, resource allocation, and utilization tracking
  • Project financial management & analysis (budget tracking, forecasting, variance analysis) with strong Excel skills for financial and project data analysis
  • Vendor management experience including vendor coordination, contract compliance, and procurement support
  • Experience pulling and analyzing project/financial data from SAP for reporting and forecasting
  • Strong analytical and critical thinking skills to identify financial or resource variances and provide explanations
  • Experience creating reports and dashboards using tools such as Excel, PowerBI, SharePoint, or PM tools (e.g., Planisware)
  • Strong organizational and communication skills to collaborate with PMs, vendors, HR, and stakeholders

Highly organized and detail-oriented individual responsible for supporting a portfolio of physical security project, including resource management, finances, and vendor management. This role requires strong analytical skills and the ability to collaborate effectively with different project managers, teams, and stakeholders.
Job Responsibilities
Personnel Management
  • Coordinate with Project Managers related to staffing, onboarding, staffing costs, etc.
  • Monitor and analyze employee utilization, workload allocation, and job estimates.
  • Assist in resource planning and forecasting based on project timelines and requirements.
  • Collaborate with HR to ensure compliance with staffing policies and procedures.
  • Support employee development and training initiatives related to resource management.
Financial Management
  • Track and analyze project budgets, expenditures, and forecasts.
  • Monitor financial performance against budgets and provide regular reports.
  • Identify cost-saving opportunities and efficiencies in resource allocation.
  • Assist in financial planning and budgeting processes related to resource allocation.
Vendor Management
  • Manage vendor relationships and contracts.
  • Evaluate vendor performance and ensure adherence to contractual agreements.
  • Coordinate procurement processes and negotiate contracts.
  • Identify potential vendors and assess their capabilities and suitability for projects.
Analytics and Reporting
  • Develop and maintain resource management reports and dashboards.
  • Provide insights and recommendations based on data analysis.
  • Monitor key performance indicators (KPIs) related to resource utilization and efficiency.
  • Prepare ad-hoc reports and analysis as needed for senior management.
Process Improvement
  • Continuously review and improve resource management processes and procedures.
  • Implement best practices for resource allocation and optimization.
  • Collaborate with cross-functional teams to streamline workflows and improve efficiency.
Qualifications
  • BA/BS in Business Administration, Finance, Engineering, or a related field.
  • Proven experience in resource management, preferably in a project-based environment.
  • Strong analytical skills in Excel, PowerBI, SharePoint, or other data analysis tools.
  • Experience with financial analysis and budget management.
  • Experience with vendor management practices and procurement processes.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.
  • Attention to detail and strong organizational skills.
