Job Title: Workday Functional Lead – Onboarding & Associated Personnel
Location: Preferred Boston, MA but will consider remote candidates residing in the following states: AL, FL, GA, LA, MA, MO, NH, OH, SC, TX, RI, MD
Contract Duration: 18+ Months
Role Overview
The Workday Functional Lead is responsible for leading the design, configuration, and optimization of Workday solutions related to Employee Onboarding and Associated Personnel (e.g., contingent workers, contractors, affiliates, and non-traditional workforce). This role ensures a seamless worker lifecycle experience from pre-hire through onboarding, while maintaining compliance and data integrity.
Key Responsibilities
1. Functional Leadership
- Serve as the primary SME for Workday Onboarding and Associated Personnel
- Lead end-to-end implementation, enhancements, and production support
- Facilitate discovery sessions and translate business needs into Workday solutions
- Provide strategic guidance on workforce onboarding and engagement models
2. Workday Onboarding (HCM)
- Configure onboarding processes for employees and non-employees
- Design task frameworks, notifications, and onboarding portals
- Partner with HR to enhance new hire experience and streamline pre-hire activities
- Ensure onboarding aligns with recruiting, benefits, payroll, and compliance requirements
3. Associated Personnel (Contingent Workforce)
- Configure and manage worker types such as:
- Contingent workers
- Contractors and consultants
- Interns, affiliates, and external staff
- Design onboarding/offboarding processes for non-employee populations
- Support vendor management and integration with external workforce systems (e.g., VMS)
- Ensure proper security roles, access provisioning, and compliance tracking
4. Business Process Design & Optimization
- Design and maintain Workday business process frameworks for onboarding and worker lifecycle events
- Identify opportunities to automate and standardize processes
- Optimize cross-functional workflows involving HR, IT, Security, and Procurement
5. Security & Compliance
- Define and maintain role-based security for associated personnel
- Ensure compliance with internal policies and external regulations (e.g., data privacy, worker classification)
- Support audit activities and documentation requirements
6. Stakeholder Engagement
- Collaborate with HR, Talent Acquisition, IT, Legal, and Vendor Management teams
- Lead workshops, UAT sessions, and training initiatives
- Act as a trusted advisor to business stakeholders
7. Data, Reporting & Integrations
- Ensure accurate tracking of worker data across employee and non-employee populations
- Build and maintain reports and dashboards for onboarding metrics and workforce insights
- Support integrations with third-party systems (e.g., identity management, background checks, VMS)
8. Release & Change Management
- Analyze Workday releases for impact on onboarding and associated personnel
- Recommend and implement new features
- Manage enhancements and continuous improvement initiatives
Required Qualifications
- 5+ years of Workday HCM functional experience
- Strong expertise in:
- Workday Onboarding
- Contingent/Associated Workforce management
- Experience with Workday business process framework and security configuration
- Proven experience leading implementations or major enhancements
- Strong communication and stakeholder management skills
