The SharePoint Administrator / Data Analyst serves as the primary owner of the Transmission PMO's SharePoint Online environment and associated Power Platform solutions. This role is responsible for implementing and continuously improving the information architecture, governance, and records management framework supporting PMO operations. As the
Records Management Champion, the incumbent ensures long-term regulatory, audit, and asset-lifecycle retention requirements are consistently met.
Key Responsibilities
SharePoint Administration & Architecture
- Daily Operations: Own site provisioning, configuration, and lifecycle management, including library and list design aligned to PMO stage-gate processes.
- Topology Implementation: Maintain the target information architecture, including the Training Hub and Project Site topology and unified navigation.
- Metadata Governance: Enforce metadata schemas (project identifiers, stage gates, document types) to reduce content sprawl and improve findability.
Content Migration & Consolidation
- Execution: Manage pilot and wave-based migrations using tools like ShareGate.
- Restructuring: Move content into metadata-driven models rather than simple folder replication.
- Validation: Reconcile items post-migration and implement URL redirect strategies to minimize user disruption.
Records Management & Compliance (PMO Champion)
- Retention Accountabilities: Map content types to approved schedules and implement event-based triggers for multi-decade retention (project/asset life + additional years).
- Liaison: Act as the primary link between the PMO, Compliance, Legal, and IT on all records and retention matters.
- Audit Support: Monitor compliance risks and support audit inquiries related to SharePoint, Teams, and Power Platform content.
Power Platform Enablement & Support
- Solution Oversight: Administer PMO-owned solutions, including the Gatekeeper Review and stage-gate submission workflows.
- Automation: Support file intake, metadata tagging, and lifecycle notification automations while ensuring alignment with tenant DLP policies.
Data Analysis, Reporting & Training
- Dashboard Development: Create reports to track site adoption, migration progress, permissions compliance, and workflow cycle-time improvements.
- Continuous Improvement: Analyze trends to recommend enhancements that improve usability and reduce operational risk.
- Change Enablement: Maintain user guidance and quick-reference materials to reinforce platform best practices.
Qualifications
- Education: Bachelor's degree in Information Systems, Business Analytics, Data Management, or related field.
- Technical Experience: 3+ years of hands-on experience administering SharePoint Online.
- Core Competencies: Practical experience with metadata design, SharePoint migrations, and managing site lifecycles.
- Tools: Working knowledge of Power Apps/Automate and experience with migration tools like ShareGate.
- Preferred: Experience in utility or capital project environments and familiarity with long-term infrastructure record retention.
